The point of Headcount Planning is to close the loop between planning a role and hiring it. When you approve requests, Factorial creates the vacancies for you in Recruitment, there's no re-keying and no manual handoff.
What happens when you approve requests
When an Owner or Editor approves requests and Locks the plan, Factorial automatically creates a Job Opening (vacancy) in Recruitment for every approved request, approve 10 requests and you get 10 vacancies. Each one starts with the hiring status Not started and is then tracked through.
If a planner used Bulk duplicate to request several copies of the same role, each approved copy creates its own vacancy, so the number of openings in Recruitment matches the number of approved positions exactly.

Vacancies are created from approved requests only. Rejected requests don't create openings.
The position detail
Expand an approved position to see how it links to recruitment:
- Recruitment status and Recruiter
- Hiring Manager and Line Manager
- The linked Job Opening — its title and whether it's Published
- Position information — vacancy type, role, level, team, workplace, start date, agreement type, schedule type, and salary (period, type, amount)
Use the Go to hiring plan button on the position to jump straight into the related recruitment work.
Reconciling planned vs. hired
Because each approved position stays linked to its vacancy and hiring status, you keep a live view of which planned roles are still open, in progress, or filled, the reconciliation that was previously impossible when plans lived in Excel and hiring lived in the ATS.
