Custom fields Permissions

Custom Fields Permissions define what users can view, edit, or manage regarding custom employee data. These permissions ensure that information stored in custom fields—especially sensitive or role-specific data—is only accessible to authorised users, while allowing HR teams and managers to tailor and manage employee records effectively. Properly configured custom field permissions help maintain data privacy, compliance, and consistency across the organisation.

Employees must be assigned to the corresponding permissions group for employee permissions to apply.

 

 

How to set up your custom fields permissions

  1. In your sidebar, go to Settings
  2. Click on Permissions
  3. Select the custom fields section
  4. Enable or disable permissions 
  5. Click on Save changes

Some permissions let you choose the specific scope of a permission in Factorial: deciding who a user is allowed to perform a certain action on.

  • For themselves: Only on their own profile/data.
  • For direct and indirect reportees: On employees who report to them, directly or through a hierarchy.
  • For people on teams they lead: Only on members of teams they manage.
  • For people in their legal entity: Anyone in their department, branch, or company entity.
  • For the whole company: Across all employees in the organisation.
 

 

Custom fields permissions

 

  • Can create custom fields and edit surveys
    This permission allows the employees inside the specific group of permissions to create and manage custom fields, as well as edit surveys, ensuring employee data can be customised and kept up to date.
     
  • Edit Contribution Type
    This permission allows the employees inside the specific group of permissions to edit contribution types, ensuring accurate configuration and management of contribution-related information.

    The user must have See Contribution Type enabled.

     

    You can choose the scope of this permission.

     

 

  • Edit Medical ID expiration date
    This permission allows the employees inside the specific group of permissions to edit the medical ID expiration date, ensuring employee medical information remains accurate and up to date.

    The user must have See Medical ID expiration date enabled.

     

    You can choose the scope of this permission.

     

     
  • Edit T-Shirt size
    This permission allows the employees inside the specific group of permissions to edit the employee’s T-shirt size, ensuring this information is accurate and up to date.

    The user must have See T-Shirt size enabled.

     

    You can choose the scope of this permission.

     
  • See Contribution Type
    This permission allows the employees inside the specific group of permissions to view contribution types, ensuring visibility of contribution-related information without the ability to make changes.

    You can choose the scope of this permission.

     
  • See Medical ID expiration date
    This permission allows the employees inside the specific group of permissions to view the medical ID expiration date, ensuring visibility of medical information without the ability to make changes.

    You can choose the scope of this permission.

     

     
  • See T-Shirt size
    This permission allows the employees inside the specific group of permissions to view the employee’s T-shirt size, ensuring visibility of this information without the ability to make changes.

    You can choose the scope of this permission.
