You can now submit purchase requests directly through One, without filling in the entire intake form yourself. Simply describe what you need and attach a quote or offer if you have one. One uses the information you provide and the details already available in Factorial to complete the request, ask for any missing information, and submit it to the usual approval workflow.
Overview
One helps employees create purchase requests through a conversation instead of completing every field in the procurement form manually.
When you describe a purchase, One identifies the appropriate request type and fills in the required information using your message, any attached documents, and relevant employee information already available in Factorial.
One can also read PDF files and screenshots of offers to extract details such as the vendor and price. If information is missing, One asks you for it before submitting the request.
Once submitted, the request follows the usual purchase approval workflow.
When and why to use it
Use One when you need to request a purchase but don't have all the information required by the intake form readily available.
For example:
- Request a new laptop and attach the supplier's quote.
- Submit a purchase request when you know what you need but aren't sure which request type to select.
- Extract vendor and pricing information from an offer instead of entering it manually.
- Create a request when some details, such as the cost centre or justification, still need to be confirmed.
This feature makes purchasing easier for employees who submit requests occasionally and helps reduce incomplete or incorrect submissions.
How to use
- Open One
- Describe what you need
- For example: "I need a new laptop for work"
- Attach a quote or offer, if available
- You can attach a PDF or a screenshot of the supplier's offer so One can extract relevant information, such as the vendor and price.
- Review the information One collects
- Answer any follow-up questions
- Submit the request
- Follow the normal approval process

If the vendor does not exist in Factorial yet, One can create the vendor as part of the request process.
If One asks me for additional information, this is expected when some required details are missing from your message, attachment, or information available in Factorial. Answer One's questions so it can complete and submit the request.
If One does not extract the correct vendor or price from my attachment, check that the PDF or screenshot clearly shows the relevant information. If a detail is missing or incorrect, provide the correct information in the conversation with One.
Tips and best practices
- Describe the purchase clearly. Include what you need and why you're requesting it, if you know this information.
- Attach the supplier's quote whenever possible. A PDF or screenshot of the offer can help One extract the vendor and price accurately.
- Check the extracted information. Review the details provided by One and clarify anything that is incorrect or incomplete.
- Answer follow-up questions carefully. Information such as the cost centre or justification may be needed to complete your request.
- Use One even if you don't know every detail. One can guide you through the missing information instead of requiring you to complete the entire form upfront.
