Cost management works out what each SaaS costs you, including the seats nobody uses. You enter the contract of a SaaS once and Factorial IT does the maths from then on.
Feature/Functionality
Overview
Once a SaaS has its contract details, Factorial IT calculates its cost per seat, its yearly cost and the cost of its unused seats.
How to use
- Go to SaaS > Directory and open the SaaS.
- In the Settings tab, under Contract, click Configure on the Pricing card.
- Upload the invoice PDF so the fields fill in on their own, or complete them by hand:
- Pricing mode: Per licence or Flat rate
- Currency and Billing frequency (Monthly, Quarterly or Annual)
- For a flat rate: the price for each billing period
- For per-licence pricing: the Price per seat and Minimum seats billed for every licence, plus the price charged for Unlicensed users
- Save.
What you see once the contract is saved
- The SaaS page shows a Financial Tracking block with the currency, billing period, yearly cost, number of unused seats and what those unused seats cost per year.
- Every account shows its Monthly cost, both in the Identities tab of the SaaS and in SaaS > Identities.
Tips and Best Practices
- Upload the invoice instead of typing. It saves time, but check the fields before you save.
- Fill in Minimum seats billed. It is part of the per-licence pricing for each licence.
- Set a price for Unlicensed users when you choose per-licence pricing.
- Watch the unused seats figure. It shows how much you pay each year for seats nobody uses.
