How to create a job opening and manage it

Create job openings to attract talented individuals to your teams through the Job section in Recruitment.

Job Dashboard

In order to have access to the Job Dashboard:

  1. On your sidebar, click on Recruitment
  2. Click on Jobs

On the job dashboard, you can view an overview of all the job offers you have created.

You can see at the top of the dashboard, job openings already published and marked as favorites and below a table with:

  • The job opening
  • The location and the workplace type (onsite, remote, hybrid)
  • The number of new candidates, candidates in the process, and hired candidates

 

  • The status of the job opening: Published, Draft, Unlisted, Archived, or Canceled.

    To review a job offer that you have already created, simply click on the offer of your interest.

     


 

How to create and publish a job opening

Steps to follow:

1. Creating a New Job Opening

  1. On your sidebar, click on Recruitment
  2. Press on + New Job Opening 📍Located in the upper right corner
  3. Start by adding basic information to create your job opening such as Job title, Workplace, Team, and Type of workplace.
  4. Click on Next

You’ll be redirected to a new page where you'll have to fill:

  • The Basic Information: to provide job details briefly for applicants to view.
  • Specify the Location: choose the Workplace and the type of the workplace
  • Add Details: provide more information about this job, such as the Contrat type, Schedule type, and Annual salary type.
  • Complete the job details with a Description
     

 

2. Adapting the Application Form
Defining the personal information you ask candidates can enhance the efficiency, effectiveness, and adaptability of your hiring process.

  1. Go the job you recently opened
  2. Open the Application form tab
  3. Decide which Personal information is mandatory, optional, or not relevant for you.

The Personal URL could be a link to a professional online profile, such as LinkedIn, and it will be reflected in your applicant's profile.

 

 

  • Create Application form questions

❗ Later, you will be able to filter directly on the Applicants tab. An example question could be, 'Do you have the permission to work in the country you are applying for?' with the possible answers being Yes or No.

 

 

  • Add internal Evaluation forms to assess candidates

 

  • Select your Hiring managers

❗ To remove a Form or Manager simply click on the (...)

 

3. Publishing the Job Offer

  1. Open the job position
  2. Click Publish
  3. Select if you want to Publish to web or Unlist the position from your company’s career page
  4. Select if employees can share referrals and/or apply to this position
  5. Click Save
     

 

4. Promotion

To hire new employees, promoting job openings across multiple job boards can be a great idea. This can increase the number of applicants and help you find more qualified candidates. Posting on multiple job boards at the same time saves you time and effort.

How to unlist, archive, or cancel a job opening

  1. Select the published job
  2. Click on Published
  3. You will see three options: Unlistarchive, and cancel job openings. Choose the one that corresponds to your needs

     

❗ If you archive the job offer, you won't see it on your company's career page or receive new candidates.

 


 


 

How to enable open applications

Allow candidates to apply when no job opening suits their profile.

  1. On your sidebar, go to Settings
  2. Scroll down to people and click on Recruitment
  3. Go to Candidate data tab
  4. Enable Open Applications
  5. Configure the information you require from candidates when submitting an open application

 

How to delete candidates

To permanently delete candidates, ensuring data privacy compliance:

  1. Go to RecruitmentCandidates
  2. Click the three dots icon next to the name of the candidate you want to delete
  3. Click Delete candidate
  4. Select the checkbox that appears
  5. Delete candidate

❗ The candidate’s profile and all their related data, including historical data, will be permanently removed.
