About Training surveys

Training surveys allow feedback to be collected by the participants and evaluate the effectiveness of the training course in Factorial.


There are three different types of surveys:

  • Satisfaction surveys: gather participant feedback; anonymity can be enabled.
  • Effectiveness surveys: evaluate the impact of a training.
  • Knowledge tests: attached to one specific course, using single- or multiple-choice questions with correct answers.

 

How to create a Training survey

Training surveys can be accessed through each course. 

  1. Navigate to the desired course
  2. Click on the Survey tab at the top of the page
  3. Click on +New Survey to create a new survey or use a template.
  4. Continue

Once the Continue button is clicked, the next page will give you the option to use One AI to help build the survey.

 


 

How to send the survey

When you send a survey, you can choose one of three options for each group:

  • When participants finish the course: each participant gets the survey the moment they complete the course. For effectiveness surveys, their manager or the person selected gets it instead.
  • On a specific date: the survey goes out automatically on the date and time you set. You can edit or cancel a scheduled survey before it goes out.
  • Send now: everyone in the selected groups gets the survey right away. Anyone who joins the group later gets it too.

Each survey type suggests a default: satisfaction surveys suggest the option “when participants finish”, effectiveness surveys suggest “a specific date”, and knowledge tests suggest “send now”. You can pick a different option.

 

 

When you can send a survey?

  • The course is active: you can send any survey, with any option.
  • The course is a draft: you cannot send any surveys yet. This applies to all survey types, including knowledge tests, the course needs to be published first.

 


 

Managing deliveries

The survey's Delivery tab shows one row per group, with its status and actions:

  • Scheduled: you can edit the date and time, or cancel. Cancelling the last delivery returns the survey to draft.
  • Automatic: sends as each participant finishes. You can also include participants who already finished the course when you activate it. While nobody has received it yet, you can cancel it. Once someone has received it, you can only stop it.
  • Stopped: stopping only prevents future sends. People who already received the survey keep it and can still answer. You can resume later. Resuming also sends the survey to everyone who finished the course while sending was stopped. You cannot resume a knowledge test while the course requires it for completion.
  • Sent: delivered. Rows show how many people received and answered.

 

Reminders

Reminders can be sent to everyone in the group that has completed the course, but has not answered the survey. 

  • Each pending person gets an email, a mobile push notification, and an inbox task that links directly to the survey. 
  • Reminders also work for anonymous surveys, without revealing who has or hasn't answered. 
  • The reminder button is unavailable while a send is scheduled or stopped, and when everyone has answered.
  • Each group's delivery reaches every participant exactly once. Re-sending to the same group never creates duplicates, and people who already answered are not notified again.
  • People who join a group after a send automatically receive the already-sent surveys.
  • A person who belongs to several groups receives the survey once per group, and answers each copy separately.
  • Employees only see surveys they can actually answer. Archived or unsent surveys never appear in their list.
  • Removing a participant from a group does not remove a survey they already received. They keep it and can still answer.
 

 

 

Archiving surveys

Surveys can be archived via clicking the three dots menu (…) and selecting Archive.

 

  • You can archive a survey or knowledge test from any status. Archiving stops scheduled and automatic sends and closes the survey; collected answers are always kept. 
  • Archived surveys move to the Archived filter on the surveys tab. 
  • Unarchiving returns a survey to its original state: a survey that was sent comes back as active, with all answers intact. 
  • Stopped automatic sends stay stopped until you resume them.
