Track participation and send reminders

Do it with One: "Which managers are late in submitting their reviews in the 2026 annual review?"

The Completion rate of a performance review shows how many evaluations have been submitted out of all evaluations. Admins and review owners can open the list of pending reviewers, export it, and send a reminder to everyone who hasn't answered. Factorial also sends automatic reminders 7 days and 1 day before the deadline.

Before you start

  • The review must be Active to send reminders. Finished reviews show the list but no Send reminders button.
  • Managers see participation for the people they can see in the review.

Step by step

Check participation in a review

  1. Go to Performance > Reviews and open the active review.
  2. Open the Insights tab.
  3. The Completion rate card shows the percentage of submitted evaluations. Use the filters (for example Manager, Teams or Workplace) to see the rate for a group.

Send reminders (admin or owner)

  1. In the Completion rate card, click Send reminders.
  2. The side panel lists Employees pending evaluation completion, with each person's Manager. Click the export icon to download it ("Pending Reviewers").
  3. Click Send reminders. The modal "Send a reminder to all who have not answered" shows Last reminder sent: with the date of the previous one.
  4. Click Send. The message "Sent successfully" appears.
Checking participation and sending reminders, step by step

Check participation across reviews

  1. Go to Performance > Reviews.
  2. The Participation rate column shows the percentage for each review. Red means participation is lower than expected, with a hint such as "Only 5 days left! Just 40% of reviews are completed, send your team a reminder!".
  3. Filter with Participation rate (%) to find reviews that need a push.

Rules and behavior

  • If you click Send, then every reviewer with at least one pending evaluation in the review gets the email "Performance review ending soon!" with the deadline.
  • If a review is Active, then automatic reminders go to reviewers with pending evaluations 7 days and 1 day before the deadline. The draft and timeline screens show these dates under SCHEDULED REMINDERS.
  • If the deadline is less than 7 days after launch, then only the reminders that fall after launch are sent.
  • If the deadline changes, then the automatic reminder dates move with it.
  • The Participation rate column in the reviews list is only shown to admins.
  • Every pending evaluation also stays in the reviewer's inbox as a task until they submit it.

Limitations

  • You can't send a reminder to one specific person from the review. The reminder goes to everyone pending.
  • You can't add extra automatic reminders or change the 7-day and 1-day timing.
  • You can't customise the reminder email text.
  • You can't send reminders after the review is Finished. Reopen it first.

 Troubleshooting

  • Symptom: "I don't see Send reminders." → Cause: everyone has answered, the review is Finished, or you aren't an owner or admin. → Fix: check the review status and your role.
  • Symptom: "I don't see the Participation rate column." → Cause: the column is only shown to admins. → Fix: open the review and use the Completion rate card instead.
  • Symptom: "A reviewer says they didn't receive the reminder." → Cause: the reviewer turned off the "Pending reviews to complete" notification, or they have no pending evaluation. → Fix: check their pending evaluations in the review, and ask them to check their notification settings and inbox.

 FAQ

1. Are reminders automatic?
Yes, 7 days and 1 day before the deadline, to reviewers with pending evaluations.

2. Can managers send reminders to their team?
Only if they are an owner of the review. Otherwise they can use the list to follow up personally.

3. Can I see who answered late?
No. You see who is still pending, not when each person submitted.
