Managing training budgets can be complex, especially for companies operating across multiple legal entities. With Training Budgets in Factorial, you can centralise budget tracking, monitor spending in real time, and simplify reporting for finance and compliance teams.


 

Overview

Training Budgets allow you to create and manage budgets per legal entity directly within Factorial. You can track all training-related costs — including direct, indirect, and salary costs — and monitor budget consumption in real time.

This feature replaces manual spreadsheet tracking with a centralised, reliable source of truth.

When and why it should be used

Use Training budgets when you need to:

  • Track training expenses across one or multiple legal entities
  • Gain visibility into how training funds are being spent
  • Simplify reporting for finance and compliance teams
  • Reduce manual work and avoid errors caused by external spreadsheets
  • Support regulatory requirements (e.g., training budget compliance in certain markets)
 

 

How to use

  1. In your sidebar, go to Training
  2. Access the Budgets tab
  3. Select +Add budget
  4. Add the basic information:
    • The legal entity the budget will apply to
    • The budget name
    • The budget description
  5. Select the amount and the period
  6. Set an allocation: the training groups eligible to use this budget
  7. Submit
  8. Once created:
    • Training costs will be automatically tracked as training groups run
    • View budget consumption in real time, including:
      • Direct costs (e.g., course fees)
      • Indirect costs (e.g., materials, logistics)
      • Salary costs (e.g., employee time spent in training)
    • Monitor how much has been spent vs. remaining budget
    • Click Export to download the full budget detail table

Access to view or edit budgets is controlled by your company’s permissions model.

 

If you do not see the Budgets section, make sure you have the correct permissions to view Training budgets. Contact your admin if access is restricted

If costs are not appearing in the budget, check that training groups are properly configured and completed and verify that costs (direct, indirect, or salary) are correctly assigned.

  • Regularly review budget consumption to avoid overspending
