Give, find and delete feedback with One

Do it with One: "Give feedback to Ana Ruiz: your release notes were clear and on time. Only she should see it."

One, Factorial's AI assistant, can give feedback on your behalf, list the feedback you're allowed to see, and delete feedback you wrote. One always shows you a summary and waits for your approval before it sends or deletes anything. One follows the same visibility rules as Performance > Feedbacks, so it never shows feedback you couldn't open yourself.

Before you start

  • You need access to Performance > Feedbacks. If you don't see that tab, One can't use feedback either.
  • Know who the feedback is for and who should read it. If you don't say who should read it, One asks you.

Steps

Give feedback with One (everyone)

  1. Open One.
  2. Write a request that includes the receivers and the feedback text, for example: "Give feedback to Laura Gómez: your presentation to the board was clear and well prepared."
  3. If you didn't say who should read the feedback, One asks you to choose: only the employee, only the employee's manager, or both.
  4. If more than one employee matches a name, One asks you to pick the right person.
  5. If you didn't include the feedback text, One asks you for it.
  6. One shows a summary with the receivers' names, who can see the feedback, and the text (the first 200 characters).
  7. Approve the action to send the feedback, or reject it to cancel.
  8. The feedback appears in Performance > Feedbacks > Given. If that page is open, it refreshes automatically.

Find feedback with One (everyone)

  1. Open One.
  2. Ask for the feedback you want, for example: "Show me the feedback I received in the last 3 months."
  3. You can filter by who received it, who gave it, a date range, and visibility.
  4. One lists the matching feedback and describes the visibility in plain words.

Delete feedback with One (author only)

  1. Open One.
  2. Ask One to delete a feedback you wrote, for example: "Delete the feedback I sent to Marc yesterday."
  3. One finds the feedback and asks you to approve the deletion.
  4. Approve to delete it permanently for everyone who received it.

Rules and behavior

  • If you don't state the visibility, then One asks you to choose between only the employee (The employee only), only their manager (Their manager only), or both (The employee and their manager).
  • If you already stated the visibility in your request, then One doesn't ask again.
  • If a name matches several employees, then One asks you to pick one. If exactly one employee matches, One uses that employee.
  • If you don't give the feedback text, then One asks for it. One never invents feedback text on its own.
  • If One is about to give or delete feedback, then it shows a summary and waits for your approval.
  • If you approve, then the feedback is sent with your name as the author, exactly as if you had used Give feedback, including the email to receivers.
  • If you ask One to delete feedback someone else wrote, then the deletion fails. Only the author can delete feedback.
  • If you ask One to list feedback, then One only returns feedback you can see in Performance > Feedbacks.

Limitations

  • One can't send feedback without your approval.
  • One can't send anonymous feedback or feedback on behalf of another person. You are always the author.
  • One can't edit feedback. Ask One to delete it and give it again.
  • One can't change the visibility of a feedback after it's sent.
  • One can't show Employee only feedback between other people, even to admins.
  • One can't request feedback from colleagues for you.

Troubleshooting

  • Symptom: "One says it can't help with feedback." → Cause: you don't have access to Performance > Feedbacks (your company's plan doesn't include Performance). → Fix: ask your admin.
  • Symptom: "One picked the wrong person." → Cause: the name matched a different employee. → Fix: reject the approval and repeat the request with the full name. If it was already sent, ask One to delete it.
  • Symptom: "One didn't find feedback I know exists." → Cause: the feedback isn't visible to you, for example it's Employee only between other people. → Fix: none. One follows the same visibility rules as Performance > Feedbacks.

FAQ

1. Will One send feedback without asking me?

No. One always shows a summary and waits for your approval.

2. Can One write the feedback for me?

No. One sends the text you give it and never invents feedback text. If your request has no text, One asks you for it.

3. Does the receiver know the feedback came through One?

No. The feedback looks the same as feedback given from Performance > Feedbacks, with your name as the author.

4. Can One summarise the feedback my team received?

Yes. Ask, for example, "Summarise the feedback my team received this quarter." One only uses feedback you're allowed to see.

5. Can One delete feedback?

Yes, only feedback you wrote, and only after you approve.

Ask One:

  • "Give feedback to Ana Ruiz and Marc Puig: thanks for the smooth release. Visible to them and their manager."
  • "Show me the feedback I gave this year with manager-only visibility."
  • "What feedback did my direct reports receive since January?"
  • "Delete the feedback I sent to Jordi today."
