Ask One about feedback: give, read and delete feedback

Do it with One: "Give private feedback to @Laura saying her presentation skills have improved significantly"

One can give feedback (sometimes called kudos or recognition) to one or more colleagues for you, show you feedback you gave or can see, and delete feedback you wrote. One always shows you what it's about to send or delete and waits for your approval. The feedback is the same as feedback sent from Performance > Feedbacks > Give feedback.

Before you start

  • You need the Use One permission and access to Feedbacks in the Performance menu.
  • Decide who should see the feedback. Factorial offers three options, shown in the Visibility column:
Option in Give feedback Shown as Who can read it
The employee only Employee only The person who receives it
Their manager only Manager only Only the receiver's manager (the receiver doesn't see it)
The employee and their manager Employee and manager The receiver and their manager

Steps

Give feedback

  1. Open One.
  2. Write who the feedback is for and what you want to say, for example "Give feedback to @Laura Pérez saying her presentation skills have improved significantly".
  3. If you didn't say who should see it, One asks you to choose only the employee, only their manager or both.
  4. If more than one person matches the name, One asks you to pick the right one.
  5. One shows a summary: the receivers, who can see it, and the feedback text (the first 200 characters).
  6. Select approve to send it. One confirms when it's sent.

Give the same feedback to several people

  1. Open One.
  2. Name everyone in one message, for example "Give feedback to @Marc and @Julia that their collaboration on the project was excellent. Make it visible to both them and their managers."
  3. Approve the summary. Each person receives the same feedback.

Read feedback

  1. Open One.
  2. Ask, for example, "What feedback have I given?", "Show me the private feedback I gave this year" or "Show me the feedback received by @Bernarda".
  3. One lists the feedback with the author, receiver, date and visibility. You can filter by person, by dates and by visibility.

Delete feedback

  1. Open One.
  2. Ask, for example, "Delete the feedback I gave to @Isabel Iglesias".
  3. One finds the matching feedback and asks you to approve the deletion.
  4. After you approve, the feedback is permanently deleted for everyone who received it.

Only the person who wrote the feedback can delete it, with or without One.

Rules and behavior

  • If you don't say who should see the feedback, then One asks you to choose between only the employee, only their manager, or both. If you already said it, One doesn't ask.
  • If you didn't write the feedback text, then One asks you for it. One never invents feedback text.
  • If several people match a name, then One asks you to choose the right person.
  • If you give feedback to several people in one message, then all of them receive the same text with the same visibility.
  • If you choose Their manager only, then the receiver can't see that feedback.
  • If you ask One to delete feedback someone else wrote, then One can't delete it. Only the author can delete feedback.
  • If you approve a deletion, then the feedback is permanently deleted for everyone who received it. This can't be undone.
  • If you ask to read feedback, then One shows only feedback you can see in Performance > Feedbacks.

Limitations

  • One can't edit feedback that was already sent. Delete it and give it again.
  • One can't request feedback from someone or ask a colleague to give feedback about you.
  • One can't send feedback anonymously.
  • One can't schedule feedback for later.
  • One can't show feedback you can't see in the product, for example feedback marked Manager only about someone who isn't your report.

Troubleshooting

  • Symptom: "One keeps asking who should see the feedback." → Cause: Your message didn't say the visibility. → Fix: Add "visible only to her", "only to his manager" or "to both".
  • Symptom: "One sent feedback to the wrong person." → Cause: A similar name matched. → Fix: Ask One to delete that feedback, then give it again using @ to select the exact person.
  • Symptom: "One can't find feedback I know exists." → Cause: The feedback isn't visible to you, or it's outside the dates you asked for. → Fix: Check Performance > Feedbacks and remove the date filter from your question.
  • Symptom: "One says it can't help with feedback." → Cause: You don't have access to Feedback, or One isn't enabled for you. → Fix: Ask an admin to check your Feedback access and Settings > Permissions > One.

FAQ

1. Does feedback sent through One look different?

No. It's the same feedback as one sent from Give feedback, and the receiver is notified the same way.

2. Can One help me write better feedback?

One sends the text you give it. You can ask One to suggest wording in the chat first, then ask it to send the version you like.

3. Can I give feedback that only the manager sees?

Yes. Say "visible only to their manager". The receiver won't see it.

4. Can I undo a deletion?

No. Deleted feedback can't be recovered.

5. Can I give feedback to a whole team at once?

Name each person in your message. One sends the same feedback to each of them.
