You can control which recruitment phases each Hiring Manager or Reviewer can access within a job posting. This helps protect sensitive candidate information by ensuring hiring team members only see and manage the applications relevant to their role.


 

Overview

Per-phase visibility allows recruiters to define which recruitment phases each Hiring Manager or Reviewer can access for a specific job posting.

By default, a hiring team member can be granted access to All phases. Alternatively, recruiters can limit access to selected phases only. When access is restricted, the member can only view and work with applications in the phases they have been assigned.

This feature helps:

  • Protect sensitive candidate information
  • Limit access based on each team member's responsibilities
  • Keep recruitment workflows secure while enabling collaboration

 Recruiters always retain access to every phase in the recruitment pipeline.

 

 

How to use

  1. In your sidebar, go to Recruitment
  2. Open the relevant Job posting
  3. Click on Edit on the top to access the posting's settings
  4. Navigate to Hiring team
  5. Locate the Hiring Manager or Reviewer whose access you want to manage
  6. Select Select phases
  7. Choose one of the following options:
    • All phases to grant access to the entire recruitment pipeline
    • Select one or more specific phases to restrict access
  8. Save your changes
  9. After saving, the hiring team member will only be able to view and interact with applications in the phases they have been granted access to
  10. The Hiring Team list displays each member's access:
    • All phases if the member has access to the entire pipeline
    • The list of assigned phases if access has been restricted

If a candidate belongs to a restricted phase, the team member cannot access the application or its sensitive information, including:

  • Personally identifiable information (PII)
  • CVs
  • Ratings
  • Feedback
  • Interviews
  • Offers
  • AI evaluation scores
  • AI call transcripts
 

If a Hiring Manager or Reviewer cannot find a candidate, the candidate may be in a recruitment phase the team member does not have access to. Verify the member's assigned phases in the Hiring Team settings.

If a Hiring Manager or Reviewer cannot move a candidate to another phase, team members can only move candidates between phases they have permission to access. If the destination or current phase is restricted, they will not be able to perform the action.

  • Grant access only to the phases a team member needs to perform their role
  • Review phase permissions whenever responsibilities change during the hiring process
  • Use restricted visibility for external reviewers or hiring managers who only participate in specific stages of recruitment
  • Periodically review hiring team permissions to ensure candidate information remains appropriately protected
