Understanding how deletion works
It’s important to note that rejecting and deleting an absence are not the same:
- Rejecting an absence simply changes its status - it moves to the “Rejected” section in the Time Off view.
- Deleting an absence means permanently removing it from the system.
You can only delete an absence from the Rejected section or if it has not yet started.
Can I delete an absence as an employee?
Yes, but with some restrictions:
- You can only delete your own absences.
- You can only delete future absences - once an absence has started or already happened, it cannot be deleted.
- You must have the “Delete absences” permission in your profile settings.
- It does not matter whether the absence is pending or approved - the rule depends on the date, not the status.
When you delete an absence, your time-off manager receives a notification automatically.
How employees can delete or modify an absence
- In your sidebar, go to the Time Off section
- Find the absence you want to delete
- You can only delete pending absences
- Click the on the absence and select Delete
- Confirm your action - once deleted, the request is removed from the approval flow

Admins and users with permissions
Admins and users with the “Delete leaves” permission can delete absences for any employee, but with some exceptions:
- Admins can delete their own future absences, but not past ones.
- If an admin wants to delete a past absence, another admin must perform the deletion.
- Past absences (of any type) cannot be deleted by the same person who created them. They remain visible under Rejected absences for record purposes.
- If an Admin creates an absence on behalf of an employee, they can only delete it - they cannot reject it.
How admins can reject and delete an absence
- In your sidebar, go to Organisation
- Select the employee whose absence needs to be deleted
- Go to the time off tab
- Click on the absence entry in the list
- In the pop-up window, you can Reject

- If you want to delete the absence, you must scroll down until the Rejected requests section
- Click on the absence you want to delete and confirm Delete to confirm your action

Once deleted, the absence and its approval request are permanently removed from the employee’s record and will no longer affect balances or reports.
Important notes
- Absences must first be rejected before they can be deleted (if already submitted for approval).
- Future absences can always be deleted if you have permission.
- Past absences cannot be deleted by the same user - only by another admin or any user with permissions.
- Deleting an absence is irreversible.
- Factorial automatically updates balances after deletion to ensure accuracy.
