The Financial Workspace centralizes all employee-related costs in Factorial, giving finance and HR teams a shared space to analyze and manage compensation data effectively.
It’s currently divided into two main sections, tailored to different needs:
- Finance teams – for budgeting, cost allocation, and reporting
- HR admins – for payroll tracking and workforce insights
Employee Costs tab – for Finance teams
- In your sidebar, go to Workspace in the Finance section
- Select the Employee Cost tab

This tab provides a full summary of employee-related costs, including predefined contract values, actual payroll data, and expenses.

Agreement cost. Pulled directly from each employee’s contract, this section reflects what was agreed upon at hiring:
- Gross salary
- Additional compensation (if defined)
These values serve as reference points and help compare expected versus actual costs.

Employee expenses. Displays all employee-related expenses from the Spending product, filtered by the following statuses:
- Approved
- Paid
- Sent to pay (SEPA)
- In payroll

Labor Cost. The main KPI here is Labor Cost, calculated from the “Company Cost” field in payroll summaries.
- This figure represents the company’s actual cost per employee.
- Detailed breakdowns can be found in the payroll summary in Payroll data tab.
This value currently includes expenses paid through payroll.

1. Filters
1.1. Data source
Choose what type of cost data you want to analyze: agreements, payroll, or expenses.
- Example: What was the total cost of Agustín García in 2024, combining payroll and airline expenses?

1.2. Cost centers
If you’ve set up Cost Centers in Factorial, you can filter and group costs by those dimensions.
- Example: How much are we spending on the Marketing and Product Design cost centers this year?

1.3. Legal entity
For companies with multiple legal entities, filter and group costs by entity.
- Example: What are the total employee costs in our German legal entity this quarter?

1.4. People
Filter by individual employees, managers, or any employee group.
- Example: How much does Jane Doe’s team cost each month?

1.5. Workplaces
Filter costs by any workplace defined in your organization setup.
- Example: What are the monthly costs for our Barcelona office vs. Madrid?

2. Group by
You can also use the Group by option to change the visual breakdown in the table (not applicable to the graph). To do so, first, select your filter and then click on “Group by” to breakdown the data.
- Example: Can you provide a breakdown of costs by Managers for the Marketing and Product Design cost centers?
It doesn’t change the data, just how it’s presented for reporting.

3. Export
Export data into an Excel (.xlsx) file based on your current filters and grouping. The file will be sent to your Factorial email.
Payroll tab – designed for HR admins
- In your sidebar, go to Workspace in the Finance section
- Select the Employee Cost tab

This section provides deep insights into actual payroll values using uploaded summaries. Payroll concepts are categorized into:
- Earnings – Fixed salary
- Earnings – Benefits in kind
- Earnings – Others
- Earnings – Variable
- Deductions
- Company contribution
- Summarized values (already calculated totals)
- Uncategorized (temporary category for custom concepts not yet mapped). All predefined concepts will be linked to rest of categories, your custom concepts will appear temporary under “Uncategorized” until you link them to the right category via Settings → Payroll → Payroll concepts.
1. Filters
All filters affect both the table and the graph—except Payroll Line, which only applies to the table.
1.1. Cost center
Group payroll data by cost center.
- Example: What were the payroll costs for the Sales cost center in June?

1.2. Legal Entity
Filter payroll costs by each legal entity configured in your company account.
- Example: How much did we pay in salaries in our Portugal entity last month?

1.3. Payroll line
Focus on specific payroll concepts, such as base salary, taxes, bonuses, or meal vouchers. This filter doesn’t apply to the graph
- Example: How much did we pay in bonuses in Q2 across the whole company?

1. 4. Payroll Policy
Use this to filter by specific payroll calendars or cycles (e.g. monthly, bi-weekly), if you have different payroll policies in place.
- Example: What were the payroll costs for our France monthly cycle in July?
1. 5. People
Filter by employee, their manager, or any group of employees.
- Example: How much did we pay to John Doe and his team in total compensation this year?

1. 6. Workplaces
Filter payroll costs based on physical office or remote locations.
- Example: What were the payroll costs for our Remote team in April?

2. Group by
You can also use the Group by option to change the visual breakdown in the table (not applicable to the graph).
It doesn’t change the data, just how it’s presented for reporting.

4. Upload payroll summary
- In the payroll data tab, click on the Upload payroll summary button
- This is a shortcut where you can upload the official payroll summary to populate the dashboard with real, detailed salary data

5. Export
Same behavior as in “Employee cost” tab – a .xlsx Excel file is generated and sent to your Factorial email, based on the selected filters and grouping.
