What is Factorial Professionals?

Factorial Professionals is a powerful tool designed for companies that outsource their payroll processes to bookkeepers. It streamlines communication by providing a direct and efficient channel that keeps companies and their bookkeepers seamlessly connected.

One of the biggest challenges for companies is keeping track of changes in employee data—such as new hires, contract updates, terminations, or personal changes that impact payroll—and sharing these updates with their bookkeepers at the end of the month. Without the right tools, this process can be time-consuming and error-prone. Companies often need to manually identify and document changes, relying on workflows or restricting product access to manage updates, which can add unnecessary complexity.

With Factorial Professionals, any changes made in a company's Factorial account—such as new hires, terminations, absences, or payroll variables—are instantly shared with bookkeepers in real-time. This tool benefits both clients and bookkeepers by reducing errors and ensuring all information is centralized in one place, making payroll management smoother and more accurate for everyone involved.


 

How to set up Factorial Professionals?

To enable Factorial Professionals for a company’s bookkeeper firm, the company must first contact their Factorial point of contact to activate the feature in the system.

Once Factorial Professionals is enabled, follow these steps to invite your bookkeeper:

  1. Navigate to Settings > Payroll
  2. Click on Manage in the Factorial Professionals section
  3. Select the user(s) you want to grant bookkeeper access to

Once the bookkeeper firm has access, they can log in to their Factorial Professionals account and manage all incidents and updates for the companies where they’ve been invited as a bookkeeper user.

 

Managing Notifications

Bookkeepers can customize their notification preferences to stay informed about relevant updates. Here’s how:

  1. Open the Factorial Professionals account
  2. Click on your name in the bottom left corner of the screen and select Your settings

 

How to use Factorial Professionals?

Once a bookkeeper has access to Factorial Professionals, the company can seamlessly send payroll updates and incidents. Follow these steps:

  1. Go to the Employee Updates section in the company’s Factorial account
  2. Open the specific employee update you want to share with the bookkeeper
  3. Click on the Send it to the bookkeeper button in the bottom-right corner

 

Once sent, the update will automatically appear in the Incidents Table within the bookkeeper’s Factorial Professionals account. Bookkeepers can then review and update the status of each incident based on their preferences.

 

Communication Between the Company and Bookkeeper

For seamless collaboration, both the company and the bookkeeper can communicate directly within each incident. Use the Messages section of the incident to clarify details, request additional information, or resolve queries.

Enabling Relevant Employee Updates

Employee updates must be enabled for the bookkeeper to receive them. The bookkeeper is responsible for defining which updates are relevant (e.g., new hires, terminations, contract changes) and enabling these from the Preferences section in their Factorial Professionals account.
