Transcripts turn your 1:1 conversations into written text in real time. This helps you capture what was said, follow up easily, and let the AI create summaries or action points without missing context.
You always stay in control. You can start or stop the transcription at any moment during the meeting.
How to manage transcripts
- When the meeting begins, transcription starts automatically.
- To pause it, click Stop transcription — the system will immediately stop recording audio.
- You can restart it at any time during the same session.
- After the meeting, you’ll find the written transcript in the Transcription tab inside your meeting notes.
How long transcripts are stored
Each company can choose how long transcripts remain available before they are permanently deleted.
You can set the retention period to:
24 hours, 30 days, 90 days, 1 year, or 2 years.
Once that time is reached, the transcript and audio are automatically removed from Factorial, no one can recover them afterward.
Privacy and data protection
Transcripts are fully GDPR-compliant.
All audio is processed securely using trusted technology providers that meet the highest European privacy standards.
Here’s what that means in practice:
- Your audio never leaves the secure environment used by Factorial.
- It is encrypted during transfer and processing.
- It’s only used to generate your transcript and meeting insights.
- After processing, the audio is deleted according to your organization’s retention settings.
Factorial uses Cloudflare for secure infrastructure and Whisper AI for high-accuracy speech-to-text conversion. Both operate under strict privacy and security controls.
Only authorized people, usually the manager and the employee in the meeting, can view the transcript.
Best practices
- Let participants know when transcription is active.
- Pause it if sensitive topics come up.
- Review transcripts soon after each meeting to confirm accuracy.
- Choose a retention policy that matches your company’s privacy standards.
