Managing contracts at scale can be complex — especially for large organisations handling high volumes of employee agreements. The contract bulk editor allows you to update, modify, or create contract versions directly within Factorial, without downloading external templates. In this article, you’ll learn how it works and how to use it efficiently.


 

Overview

The contract bulk editor is a scalable solution designed for large organisations that manage multiple contracts simultaneously. It provides an Excel-like editing experience directly embedded in Factorial, allowing HR teams to make bulk updates without exporting and re-uploading templates.

This tool eliminates unnecessary back-and-forth with external files and enables immediate error correction within the platform. You also have full visibility of validation results and import history.

When and why it should be used

Use the contract bulk editor when:

  • You need to update contract conditions for multiple employees at once
  • You want to overwrite current agreement details in bulk
  • You need to create a new contract version for several employees
  • You want to avoid downloading and uploading templates
  • You need faster validation and error correction directly in Factorial

It is particularly useful for XL companies where efficiency, scalability, and accuracy are critical.

 

 

How to use

  1. In your sidebar, go to Organisation
  2. Access the People tab
  3. Select the list of employees whose contracts you want to edit
  4. Click the bottom banner option Edit contracts
  5. Choose one of the following actions:
    • Update current version: Any change will overwrite existing contract details
    • Update all versions: Any change will overwrite all existing contract versions for the selected employees
    • Create a new version: Add a new contract version while keeping the current one unchanged. All previous versions will remain available for reference
  6. Click on Continue
  7. Change the columns as required
  8. Once saved, you can go to Import history to track the process status

If any contract fails a system validation (automatic checks to ensure data accuracy), you can correct the errors immediately within Factorial — no need to re-upload any file.

If you can’t see the Edit contracts option, make sure you have selected at least one employee and you have the necessary permissions to edit contracts.

 

By clicking on the arrow next to Edit contracts, you can also:

  • Add compensations in contracts
  • Switch to a permanent seasonal contract
 

 

Tips and best practices

  • Review your employee selection carefully before applying bulk changes
  • Use Create a new contract version when you need to maintain historical records
  • Check validation results immediately after saving to resolve issues quickly
  • Make smaller grouped updates if you are applying significantly different changes across teams or entities
  • Ensure contract fields (such as start date or salary details) are consistent to avoid validation errors
 

 

FAQ

  1. What is the difference between Update current version and Update all versions? 
    Update current version overwrites the active agreement only. Update all conditions replaces all existing agreements for the selected employees.
     
  2. Will creating a new contract version delete the current one? 
    No. It keeps the current agreement unchanged and creates a new version.
     
  3. Do I need to download a template to use this feature? 
    No. All edits are made directly within Factorial.
