Training automation: auto-completing courses

Table of Contents

The Training automation settings allow you to decide exactly when a course should be marked as Completed in Factorial. In this article, you’ll learn how to configure completion rules based on attendance, knowledge tests, and LMS content progress.

Overview

Different organisations define “course completion” in different ways. To support this, Factorial now offers flexible, fully customisable completion criteria. You can decide whether a participant’s training is completed based on attendance percentage, passing a knowledge test, or finishing all LMS learning content.

Use this feature when you want your training reports to reflect your internal rules, compliance needs, or external requirements such as subsidies or government regulations.

How to use

  1. Open the main sidebar and navigate to Talent > Trainings
  2. Open the course you want to configure
  3. Access Course Settings
  4. Go to Completion configuration tab
  5. Set the attendance percentage requirement
  6. Save your configuration

If participants are not being marked as Completed even after attending sessions, verify that the attendance percentage meets the threshold you configured and check if other criteria (knowledge test or LMS content completion) are also enabled.

If the knowledge test is passed but the course still shows as In Progress, make sure the test is linked correctly to the course and check whether the attendance or LMS completion toggles are active as well.

Tips and best practices

  • Match your compliance needs: If your organisation receives public funding, check the required attendance percentage and set it accordingly.
  • Communicate your rules internally: Let trainers and participants know what is required for completion to avoid confusion.
  • Avoid over-restricting: If your course rarely includes a knowledge test, keep that toggle off to simplify the process.
  • Review completion rules when duplicating courses to ensure the new training uses the correct settings.

FAQ

  1. Can I use only one of the completion criteria?
Yes. You can use a single requirement or combine several depending on your training needs.

  2.  Can I change completion criteria after the course has started?
Yes, but changes may affect how existing participants are evaluated. Review your setup before applying modifications.

  3. Will future LMS content updates apply automatically to completion logic?
Yes, once “LMS content fully completed” is enabled, all linked modules will be considered in the rule.
