The vacancy activity log gives you a complete view of what happened during the lifetime of a vacancy. From creation to filling, cancellation, or reopening, you can review status changes and hiring-team updates in one timeline.
Overview
The Activity tab on the vacancy detail page provides a chronological history of the vacancy.
You can see:
- When the vacancy was created
- When the recruitment process started
- When an offer was extended
- When the vacancy was filled
- When a vacancy was cancelled, reopened, or marked as un-filled
- Which recruiters and hiring managers were assigned or removed
- Who made each hiring-team change and when it happened
This gives your team better visibility into the history of a vacancy, especially for long-running requisitions or vacancies that have changed status several times.
The activity log follows the same permissions as the vacancy list. You can only view the activity history of vacancies you already have permission to see.
When and why it should be used
Use the activity log when you need to:
- Understand what has happened to a vacancy over time
- Review the history of a recruitment process
- Check when recruiters or hiring managers were assigned or removed
- Understand why a long-running vacancy changed status
- Give colleagues context when taking over or collaborating on a vacancy
- Audit the history of a vacancy
How to use
- In your sidebar, go to Recruitment
- Open the vacancy you want to review
- Go to the Activity tab
- Review the events in chronological order, from the vacancy's creation to its latest activity
- Use the Status filter to focus on status-related events
- Use the Hiring team filter to focus on recruiter and hiring manager changes
- Review who made each hiring-team change and when it happened

If older events are still being added to the activity log, a banner at the top of the timeline will let you know that the history is not yet complete.
Tips and best practices
- Review the full timeline: For long-running vacancies, check the complete history instead of relying only on the current status.
- Use filters: Narrow the timeline to status changes or hiring-team updates when you're looking for specific information.
- Check who made changes: Hiring-team updates include the person who made the change, making it easier to understand how the vacancy evolved.
- Give context to colleagues: Use the activity history when handing a vacancy over or catching up on a recruitment process.
