Use suggested competencies when assigning competencies to roles

Do it with One: "Show me what competencies are available in the Factorial catalog"

When you assign competencies (sometimes called skills) to a node of the Job catalog, Factorial shows Suggested competencies taken from the Factorial competency catalog. For job functions and job families, AI ranks the catalog competencies by how relevant they are to that function or family. You decide which ones to add.

Before you start

  • You need the Manage competencies permission.
  • Your company uses the Job catalog with roles, functions or families.
  • Suggestions come from the Factorial competency catalog, not from your own competencies.

Steps

  1. Go to Job catalog and open a role, a job function or a job family.
  2. Open the Competencies tab.
  3. Select Assign competencies.
  4. Check the Suggested competencies list.
  5. Select Add next to each competency you want to assign.
  6. Select Load more to see more suggestions.

Rules and behavior

  • If you open a job function or a job family, then AI ranks the suggestions by relevance to that function or family.
  • If you open a role, then suggestions come from a catalog search, without AI ranking.
  • If the AI ranking isn't available, then Factorial still shows catalog suggestions, unranked.
  • If you add a suggested competency, then it's adopted from the Factorial catalog into your company and assigned to that node.
  • Suggestions never assign anything automatically. Only competencies you Add are assigned.

Limitations

  • AI doesn't write competency descriptions or levels for you.
  • AI doesn't assess employees' competencies.

Troubleshooting

  • Symptom: "I don't see Suggested competencies." → Cause: You don't have Manage competencies. → Fix: Ask an admin for the permission.
  • Symptom: "The suggestions don't fit the role." → Cause: Roles use a catalog search, not AI ranking. → Fix: Use Load more, or assign the competency at the function or family level.

FAQ

1. Does this use AI?

Yes, for job functions and job families, AI ranks catalog competencies by relevance. For roles, Factorial uses a catalog search.

2. Can One assign competencies to roles?

No. One can show you the Factorial catalog and which competencies you've adopted, but it can't assign them.

3. Can I edit a competency after adding it?

Yes. It becomes one of your company competencies, which you can edit in the Competencies section.

Ask One: "Show me what competencies are available in the Factorial catalog" · "Have we adopted any competencies from the Factorial catalog?"
