Training collaborators allow you to share access to individual training courses with specific users, without granting them access to all courses. This makes it easier to collaborate on course management while ensuring users only see and edit the courses they're responsible for.
Overview
Training collaborators let course owners grant access to a single training course by assigning users one of two roles:
- Editor: Can manage and edit the course
- Viewer: Can access the course in read-only mode
This feature provides more granular access control than global training permissions, helping protect sensitive information and reduce unnecessary access.
When and why it should be used
Use training collaborators when you need to involve managers, subject matter experts, or other stakeholders in a specific training course without giving them access to all training content. This feature is especially useful when:
- Different people are responsible for different training courses
- You want to limit access to only the courses a user needs
- You need to collaborate on course creation or review while maintaining data privacy
How to use
- In your sidebar, go to Trainings
- Open the training course you want to share
- In the course header, click on Share
- In the sharing window, search for and select the user you want to add
- Choose the appropriate role:
- Editor to allow the user to edit and manage the course
- Viewer to allow the user to view the course without making changes
- Click on Add and then on Done
- The selected user will immediately have access to the course according to the assigned role

If you cannot see the Share button, verify that you have permission to manage the course. If the button is still unavailable, contact your company's administrator.
If you cannot access the course, check that you have been added as a collaborator and that the correct role has been assigned. If the issue persists, refresh the page or sign out and back in.
If you accidentally assigned the wrong role, open the Share window, update the user's role, and save the changes.
Tips and best practices
- Assign the Viewer role when users only need to review course content
- Reserve the Editor role for users responsible for maintaining or updating the course
- Regularly review collaborators to ensure only the appropriate users have access
