One reads and changes Performance data as you: it uses your own Factorial permissions, so it never shows reviews, scores, feedback or bonuses you can't see in the product. Some Performance areas in One are for admins only, listed below.
Before you start
- An admin grants access to One in Settings > Permissions > One: to specific roles, specific employees, admins only, or the whole company.
Steps
Give a group access to One
- Go to Settings > Permissions > One.
- Choose who gets the Use One permission: specific roles, specific employees, admins only, or everyone.
- Save. People with Use One can now open One. What they can ask about in Performance depends on the next table.
Check what each person can ask about in Performance
| To ask One about… | The person needs… | And One shows… |
|---|---|---|
| Performance reviews, scores, action plans, manager insights, competency scores | Access to Performance in the sidebar | Only the reviews and results the person can see. Full results need Review Process Full Visibility |
| Competency definitions, levels, expected levels, the Factorial catalog | Admins only | All company competencies |
| Feedback (read, give, delete) | Access to Feedbacks in the Performance menu | Only feedback the person can see |
| Incentive plans and payouts (Enterprise) | Admins only | All incentive plans |
| Performance analytics (One Analytics) | Admins only | Company performance data |
| Salary next to performance | Permission to see the person's contract | Salary only for people whose contract they can see |
Rules and behavior
- If you can't see a review in Performance > Reviews, then One can't see it either.
- If a review shares results only with the manager, then an employee asking One gets no score for that review.
- If you ask One to do something you can't do in the product, such as deleting feedback someone else wrote, then One can't do it.
- If you're not an admin, then One can't answer questions about competency definitions, incentive plans or One Analytics.
- If your company's plan doesn't include an area, then One says it isn't in your plan.
- If One gives or deletes feedback, then it's recorded as done by you.
Limitations
- One can't grant itself extra access or work around review visibility settings.
- You can't limit One to some Performance areas only. One follows each area's own permissions.
Troubleshooting
- Symptom: "A manager sees more in One than an employee." → Cause: The manager has more access in Factorial, for example to their team's review results. → Fix: This is expected. One mirrors product permissions.
- Symptom: "A manager can't ask One about competencies or incentive plans." → Cause: These One topics are for admins only. → Fix: Ask an admin, or ask One about competency scores from reviews instead.
