With Factorial, employees can now request shift swaps between colleagues directly from the mobile app. This feature facilitates flexibility within teams, streamlines the management of schedules, and ensures that all shift changes are tracked and approved through the platform.

Requesting a Shift Swap

Follow these steps to request a shift swap:

1. Open the Mobile App
2. Go to the "Shifts" Section
3. Select the Shift You Want to Swap
   1. Choose the shift you want to swap by clicking on it. You will see a button labeled "Request Swap" next to the shift details. Click on this button to start the swap process.
4. Choose a Colleague
   1. From the list of available colleagues, select the one you'd like to swap shifts with.
5. Add a Comment (Optional)
   1. You can add a comment explaining the reason for your request. After that, confirm your swap request by clicking on "Confirm Request".
6. Notification to the Colleague
   1. The selected colleague will receive a notification either through the app or web platform asking them to approve or reject the shift swap request.
7. Manager Approval
   1. If the colleague accepts the request, the manager will receive a notification to review and either approve or reject the swap in their inbox. Until the manager makes a decision, both employees will see the status of the request as "Pending".
8. Manager's Decision
   1. If approved: The planning schedule will be automatically updated with the new shifts, and a visual indicator will be shown on the swapped shifts. Both employees will be notified of the approval
   2. If rejected: No changes will be made to the planning schedule. Both employees will receive a notification that the request was rejected.

What Happens Next?

Once the shift swap is approved, the employees will see the updated schedule in the app, and the shift swap will be clearly marked. Managers retain control over the schedule while empowering employees to manage their own shifts with flexibility.
