Handbook Insights: Understand what employees ask One about your policies

Gain valuable insights into employee inquiries about your policies and enhance communication and understanding within your organization.

With Handbook Insights, admins can see how One handles employees’ questions about company policies. You can identify the topics employees ask about most, see where One couldn't provide an answer, and track how much time One saves your HR team.


 

Overview

The Insights tab in the Handbook gives admins an overview of employees’ policy questions and how One responds to them.

You can see:

  • The total number of policy questions
  • The number of questions One answered and could not answer
  • The estimated time One saved the company
  • How these metrics compare with the previous week, month, or quarter
  • Answered and unanswered questions by Handbook category
  • Topics identified from unanswered questions, together with an AI-generated summary and the number of questions in each topic.

This can help you identify policies that may need to be added, clarified, or updated.

The feature is available to companies that pay for Policies compliance.

 

 

How to use

  1. in your sidebar, go to Handbook
  2. Open the Insights tab
  3. Review the overview to see the total number of policy questions, answered and unanswered questions, and the time saved by One
  4. Select the comparison period to compare the results with the previous week, month, or quarter
  5. Review the breakdown by Handbook category to identify categories with a higher number of unanswered questions
  6. Go to the Policy questions overview to review the topics identified from unanswered questions
  7. Review the AI-generated summary and question count for each topic
  8. Use these insights to identify policies that may need to be created, clarified, or updated

If the insights do not show an employee's original question, this is expected. For privacy reasons, admins only see the AI-generated summary of topics. They do not see who asked the question or the original wording.

 

 

Tips and best practices

  • Use the category breakdown to spot gaps. A high number of unanswered questions in a category can indicate that employees need clearer or more complete policy information.
  • Compare periods after updating a policy. Comparing results week over week, month over month, or quarter over quarter can help you see whether a policy update reduced unanswered questions.
  • Treat unanswered topics as a to-do list. Review recurring topics when deciding which policies to create or improve.
  • Protect employee privacy. Insights are designed to show trends rather than individual questions. Admins do not see who asked a question or its original wording.

    No. Insights don't show who asked a question or the original wording of the question.

    No. The Policy questions overview shows AI-generated summaries of topics from unanswered questions, rather than the original questions.
     
  3. How does One classify policy questions?
    Each policy question is assigned a Handbook category and marked as either answered or unanswered.
     
  4. How are the topics in the Policy questions overview created?
    Once a week, One groups unanswered questions from the previous 30 days into topics and generates a short AI summary for each topic.
     
  5. How often are the unanswered-question topics updated?
    The topics are generated once a week using unanswered questions from the previous 30 days.
     
  6. Why can I not see the Policy questions overview?
    Topics are only available for companies with 20 or more employees.
     
  7. Can I use Insights to see whether a policy update worked?
    Yes. You can compare Insights with the previous week, month, or quarter to identify changes in the number of questions and unanswered questions after updating a policy.
     
  8. How is employee privacy protected?
    Admins do not see the identity of the employee who asked a question or the original wording. They only see aggregated information and AI-generated topic summaries.
