Onboardings and offboardings overview

Factorial IT reads your HR system to know who is joining, changing role or leaving. Each start date then opens an IT onboarding, and each departure date schedules an offboarding.

Feature/Functionality

Overview

Your HR system stays the single source of truth for your people. After the sync is in place, Factorial IT reacts to its dates on its own:

  • A new start date opens an onboarding for that hire.
  • A new departure date schedules an offboarding for that employee.

With that in place you can:

  • Bring in employees, teams, managers and their start and end dates from one HR system or from several.
  • Open an onboarding ticket for every new hire and get their email, SaaS accounts and equipment ready before their first day.
  • Hand every onboarding to the Onboarding Agent, which follows instructions you write.
  • Let the Equipment Agent choose the new hire's device, agree it with them and place the order.
  • Remove SaaS access and plan device actions around an employee's last day.

How to use

Set things up in this order:

  1. Set up HR sync. Connect your HR system so employee data arrives automatically and feeds onboardings, offboardings and your employee directory.
  2. Review the onboarding settings. Choose the ticket defaults, the steps and how each step behaves for every onboarding. Go to People > Settings and open the Onboarding tab.
  3. Review the offboarding settings. Choose when each offboarding step runs compared with the employee's last day. Go to People > Settings and open the Offboarding tab.

Tips and Best Practices

  • Fix data at the source. Dates drive everything here, so correct a wrong start or leave date in the HR system, not in Factorial IT.
  • Connect HR first. Without the sync, no onboarding or offboarding starts on its own.
  • Set onboarding and offboarding together. Joiners and leavers use the same SaaS and devices, so plan both sides in one go.

Troubleshooting and FAQ

Troubleshooting

  • No onboarding opened for a new hire. Check that the hire has an upcoming start date in your HR system and that the sync is running.
  • An employee left and nothing happened. Check that the departure date reached Factorial IT from your HR system. Then review the offboarding settings.
