When you create an employee profile in Factorial, you can manage their invitation to ensure they can access their account smoothly. There are two possible scenarios: resending an existing invitation or sending a new invitation.
Understanding Employee Invitations
Once an invitation is sent, the employee receives an email with a link to join Factorial.
- Invitations are valid for 24 hours.
- If the employee does not accept the invitation within this period, it will expire.
When trying to log in after an invitation has expired, the employee will see a message saying that the account is blocked.
In this case, the account administrator must resend the invitation.
How to Resend an Invitation
If an employee was invited but has not yet accepted the invitation—or if the invitation has expired—you can resend it directly from the Pending invitations section.
- In your sidebar, go to Organisation
- Got to the pending invitations box
- Click Resend invitation
- The employee will receive a new email with a fresh 24-hour access link

How to Send an Invitation (If the Employee Was Not Invited Yet)
If an employee profile was created, but no invitation was sent, you can send a new invitation from their profile.
- In your sidebar, go to Organisation
- Got to the not invited box
- Click Invite employee
- This sends an email invitation allowing them to activate their Factorial account

Troubleshooting: Invitation Issues
If employees are unable to access their accounts or are not receiving their invitation emails, check the following:

The invitation has expired.
Invitations are valid for 24 hours. If expired, you must resend the invitation:- Go to Organisation
- Open the Pending invitations box
- Click Resend invitation

The employee cannot find the invitation email.
Ask the employee to:- Check their spam, junk, or promotions folder
- Search their inbox for “Factorial”
- Confirm that their email address is spelled correctly in their profile
- If the email was incorrect, update it and resend the invitation.

The employee sees a “Blocked account” message.
This means the invitation expired or was never accepted. Resend the invitation from Pending invitations.

The employee already created an account previously.
If they attempt to use an email already linked to another Factorial account, they may not be able to join. They must use a unique email address, or the admin must update the email before resending the invitation. Learn more about it here.

The employee still does not receive the invitation.
If none of the above works:- Confirm the company's email provider is not blocking Factorial emails
- Try resending the invitation once more from Pending invitations
