Overview

Clocking in with a QR code allows employees to register their working hours quickly by scanning a code using their mobile device. This feature is commonly used in workplaces where employees are physically present and need a fast and simple way to track time.

When and why it should be used

  • Employees work on-site and need a shared check-in point
  • You want to simplify time tracking without requiring manual input
  • You need a quick and contactless way to register attendance

For more information, you can check this article about how to clock in/out with QR.

Tips and Best Practices

  • Make sure the QR code is clearly visible and not damaged
  • Ensure employees have a stable internet connection when scanning
  • Ask employees to allow camera permissions on their device
  • Test the QR code periodically to ensure it is still valid

Troubleshooting

Here are common issues and how to resolve them:

1. Nothing happens after scanning the QR code

  • The QR code may not be in a valid format
  • Ask your admin to regenerate the QR code
  • Make sure you are scanning the correct company QR code

2. Generic error message appears (“There was a problem”)

This message can appear for different reasons, such as:

  • The QR code has expired
  • There is already an active shift
  • Time tracking policies prevent clock-in
  • Try refreshing the app and scanning again

If the issue persists, contact your admin.

3. Camera does not open or scan does not work (especially on iOS)

  • Check if camera permissions are enabled in your device settings
  • If your device is managed by your company (MDM or restrictions), camera access may be blocked
  • Contact your IT team to review device restrictions

4. QR code works for some employees but not others

  • Check individual permissions or policies in Time Tracking
  • Ensure all employees are assigned to the correct time tracking policy
  • Verify that they are using the latest version of the app

5. The app keeps loading or takes too long after scanning

  • This may be due to a slow or unstable internet connection
  • Try switching networks (Wi-Fi/mobile data)
  • Close and reopen the app before trying again

6. QR code was copied or shared but does not work

  • If the QR code link was copied incorrectly, it may not function properly
  • Always use the original QR code generated in Factorial
  • Regenerate and share it again if needed

FAQ

  1. Does a QR code error prevent employees from clocking in?
Not necessarily. In most cases, the issue is related to the QR code, device permissions, or connection. Once resolved, employees can clock in normally.

  2. Can I see the exact reason why the QR clock-in failed?
Currently, error messages shown in the app may be generic and not specify the exact cause. If the issue continues, we recommend contacting your admin or support team to investigate further.

  3. Can QR clock-ins fail due to company policies?
Yes. Time tracking policies (such as restrictions on active shifts or clock-in rules) may prevent a successful scan. Check your company settings or contact your admin for more information.
