Assign competencies to jobs in bulk

Assign jobs in bulk opens a spreadsheet of your whole job catalog where you add up to 10 competencies, and their expected levels, to each family, function, role or level in one go. It's the fastest way to build a competency matrix after you've created or imported your competencies.

Before you start

  • You need Edit job catalog competencies and Can import resources, and your company needs a job catalog with families, functions, roles and levels.
  • Create or import your competencies and their levels first. The spreadsheet only lets you pick existing competencies and levels.
  • The spreadsheet adds assignments. It never removes competencies that a job already has.

Steps

  1. Open the bulk assignment in one of these ways:
    • Go to Performance > Competencies and click Assign jobs in bulk. (A banner "Assign competencies to jobs" with the same button can also appear after you create your first competencies.)
    • Go to Employees > Jobs, open the actions menu (⋮) and click Assign competencies in bulk.
  2. The spreadsheet opens with one row per node of your job catalog. Family, Function, Role and Level are filled in and can't be edited.
  3. In each row, choose a competency in Competency 1 and, on level rows, its expected level in Competency level 1.
  4. Use Competency 2 … Competency 10 for more competencies on the same row.
  5. Review the validation messages and fix any errors.
  6. Confirm to apply the changes.
  7. Check the result in Employees > Jobs or in each competency's Jobs tab.

Rules and behavior

  • If you add a competency on a family, function or role row, then every node below inherits it.
  • If you fill Competency level N on a family, function or role row, then the level is ignored; expected levels apply only on level rows.
  • If Competency level N is filled but Competency N is empty, then the row shows "Competency N can't be blank when the competency level is informed".
  • The Competency level dropdown only accepts levels of the competency chosen in the same pair.
  • If a job already has a competency (directly or inherited) and you add it again without a level, then nothing changes for that row.
  • If you add a competency with a level to a job level that already has it, then the expected level is set to the one in the spreadsheet.
  • Rows you leave empty don't change.

Example

Family Function Role Level Competency 1 Competency level 1 Competency 2 Competency level 2
Sales       Negotiation
Sales Account management Account Executive Junior Negotiation Basic Communication Basic
Sales Account management Account Executive Senior Negotiation Advanced Communication Proficient

Result: every Sales role inherits Negotiation; Account Executive Junior expects Negotiation Basic and Communication Basic; Account Executive Senior expects Negotiation Advanced and Communication Proficient.

Limitations

  • You can't unassign competencies with the spreadsheet; use Unassign in the job catalog or the competency's Jobs tab.
  • You can add at most 10 competencies per row in one upload. Run it again to add more.
  • You can't create competencies or levels in the spreadsheet; use New competency or Import competencies first.
  • You can't add rows for jobs that don't exist; create them in the job catalog first.

Troubleshooting

  • Symptom: "I don't see Assign jobs in bulk." → Cause: No competencies exist yet, or you lack Edit job catalog competencies or Can import resources. → Fix: Create a competency first and check your permissions.
  • Symptom: "My expected levels weren't saved." → Cause: They were on family, function or role rows. → Fix: Put expected levels on level rows.
  • Symptom: "A competency I wanted to remove is still on the job." → Cause: The bulk assignment only adds. → Fix: Unassign it from the job in Employees > Jobs.

FAQ

1. Can I download the current assignments?

The spreadsheet opens pre-filled with your job catalog; use it to review and add assignments.

2. Is this the same as Import competencies?

No. Import competencies creates competencies and levels. Assign jobs in bulk links existing competencies to jobs.

3. Will this change running reviews?

No. Reviews already launched keep their competency questions. New reviews use the new assignments.
