Change the Time Off policy for multiple employees

Overview

You can assign a new Time Off policy to multiple employees at once from the policy settings.

This option is designed for bulk assignments and does not support scheduling the change or transferring employees' remaining balances to the new policy.


 

Change the policy for multiple employees

  1. Go to Time Off.
  2. Open the target Time Off policy.
  3. Click Add employees.
  4. Select multiple employees or use a rule-based selection.
  5. Assign the policy.

 

What happens after the assignment

When you assign a policy to multiple employees:

  • The assignment applies to active employees only.
  • The change takes effect immediately (today).
  • You cannot choose an effective date.
  • Remaining balances are not transferred to the new policy.
  • Employees start a new assignment under the selected policy.

 

Change the Time Off policy of a newly onboarded employee

When a new employee is created, they automatically receive an initial assignment to the default Time Off policy, effective from their contract start date.

If the assigned policy is incorrect, you have two options:

  • Edit the initial assignment from the Policy Timeline. This ensures the correct Time Off policy is applied from the employee's contract start date. No balance transfer is performed.
  • Change the policy for multiple employees in bulk.

 

Edit the initial assignment

  1. Go to the employee profile.
  2. Open Time Off.
  3. Open Policy Timeline.
  4. In the list of assignments, edit the first assignment.

What happens when you edit the initial assignment

When editing the initial assignment:

  • You can only change the policy.
  • The effective date cannot be modified because the assignment always starts on the employee's contract start date.
  • The original policy is replaced.
  • A second assignment is not created.
  • No balance transfer is performed because there is no previous assignment.
  • This flow does not go through One.
