The identities page gathers every SaaS account in your company in a single list. Use it to see who each account belongs to and what access it gives.
Feature/Functionality
Overview
SaaS > Identities shows one row per identity, across all of your SaaS. For each one you can see:
- Identity, its SaaS and its Source
- Employee: the person the account belongs to
- Groups, Roles, Licences and Organisation units
- Issues: where the account does not match your provisioning rules
- Monthly cost: shown once cost tracking is configured
How to use
- Go to SaaS > Identities.
- Narrow the list with the filters:
- Types: Employee, Group, Contractor, Guest or Machine user
- Employees, Groups, Roles, Licences, Organisation units or Apps
- Employment status: Current, Onboarding or Offboarding
- Click Export (.csv) to download the list as it is filtered.
See the accounts of a single SaaS
- Go to SaaS > Directory.
- Open the SaaS.
- Go to its Identities tab.
See Manage your SaaS for the rest of the SaaS page.
Tips and Best Practices
- Filter before you export. The CSV contains only what the current filters show.
- Filter by Offboarding employment status to check which leavers still hold accounts.
- Look at the Issues column. It points to accounts that break your provisioning rules.
- Set up cost tracking first if you want the Monthly cost column filled in.
Troubleshooting and FAQ
Troubleshooting
- The Monthly cost column is empty. Cost tracking is not set up for that SaaS. Enter its contract in the Settings tab (see Cost management).
- The Issues column is empty for a SaaS. Issues are measured against the published provisioning rule. A SaaS with no published rule shows none.
- The export has fewer rows than expected. The CSV follows the active filters. Clear them to export everything.
FAQ
-
Does the list cover accounts that belong to no employee?
Yes. Filter by Types to find groups, guests or machine users.
-
Can I see the accounts of just one tool?
Yes. Open the SaaS from SaaS > Directory and use its Identities tab.
