Overview
Quotes builder lets you create and manage two types of quotes:
- Product quotes (for goods or one-off services)
- Project quotes (for time-based work, services, or ongoing projects)
When a project-type quote is accepted, you can convert it directly into a project. All key information—such as hours, roles, rates, and budget—transfers automatically to ensure consistency between sales and delivery.
When and why it should be used
Use Quotes builder when you want to:
- Create structured quotes for clients before starting work
- Ensure pricing and project planning stay aligned
- Avoid re-entering project data manually after quote approval
- Track financial performance from quote to project delivery
It is especially useful for teams working with time and materials or service-based projects.
How to use
Create a quote
- In your sidebar, go to Sales
- Access the Quotes tab
- Click on +New quote
- Choose the quote type:
- Product (for one-off items)
- Project (for services or time-based work)
- Add a phase
- In the phase, click on Add item and select Add product
- Set up the details
- Fill in the Financial summary
- Click on Add item again and select Add role
- Set up the details
- Fill in the Financial summary
- When adding roles to a project quote, select them from the Job Catalogue
- Repeat the process in following phases
- Go to the Details tab and fill in the information
- Save the quote
- Click on Ready to send on the upper right corner
- Mark it as Accepted once the client approves it

- Open an accepted project-type quote
- Click Create Invoice in the upper right corner

- Fill in the required information
- Click on Create project

If the “Convert to Project” button is not visible, make sure the quote type is Project (not Product), confirm the quote has been marked as Accepted. Additionally, check that your company has the Projects Enterprise plan enabled.
If rates or hours are not transferred correctly, ensure job roles are selected from the Job Catalogue and verify that the quote was fully saved before conversion.
If you cannot edit bill rates in the quote, confirm you have admin or quote-editing permissions and check whether the quote is locked due to approval status.
