How to register a sick leave

When an employee is on medical leave (sick leave), it’s important to record that time off in Factorial so it appears correctly in your company’s records.

Registering a sick leave in Factorial does not replace the official medical or legal procedures required in your country.

Factorial is only a record-keeping tool - all official documentation must still be submitted to your company and processed according to local regulations.

 

 

Who can register a sick leave

Sick leaves can be recorded by:

  • The employee themselves, if they have the necessary permissions.
  • An Admin or a Manager with permission to manage time off for other employees.

Before registering a sick leave: Important for Admins

Before employees can register a sick leave, the corresponding time off counter must be created and configured in Factorial. This ensures that “Sick Leave” appears as an available option when employees request an absence.

How to register a sick leave

If you are an employee

  1. In your sidebar, go to Time Off
  2. Click Request absence 
  3. Select the time off type corresponding to medical or sick leave (the name may vary depending on your company’s setup)
  4. Choose the start and end dates of your leave
  5. (Optional) Attach a medical certificate or related document if required by your company
  6. Add a short description if necessary (e.g., “Medical leave due to surgery”)
  7. Click Send request

 

If you are an Admin or Manager

  1. In your sidebar, go to Organisation → People tab
  2. Select the employee who needs the sick leave recorded
  3. Open the Time Off tab in their profile
  4. Click Add absence
  5. Choose the time off type for sick leave
  6. Set the correct dates and add any documents if needed
  7. Click Save to register the absence
