Do it with One: "How many employees on the Monthly performance bonus plan have issues?"
Admins can use One to look up incentive plans (also called bonus or variable pay plans), check who is on a plan and what they'll be paid, and make common changes: create a plan, add goals, remove people, and fix missing or duplicated additional compensation. One asks before removing anyone and tells you which people it can't update.
Before you start
- Incentive plans are part of the Enterprise plan.
- You need the Use One permission. Asking One about incentive plans is for admins only.
- To fix missing additional compensation, you also need permission to edit the contracts of the people involved.
- Each plan needs a Recurrence (monthly, quarterly, half-yearly or yearly), a people group and a Payroll concept before payouts can be sent to payroll.
Steps
Look up plans and people
- Open One.
- Ask "What incentive plans do we have?".
- Ask about a plan by name, for example "Show me the employees on the Monthly performance bonus plan" or "Is @Carlos Carter on the Monthly performance bonus plan?".
- Ask "How many employees on the Monthly performance bonus plan have issues?" to find people with a missing or duplicated additional compensation.
Check payouts
- Open One.
- Ask, for example, "For each employee on the Monthly performance bonus plan, give me their overall achievement, variable amount and amount to pay this month".
- One answers with the same figures as the plan's people table: Overall achievement, Variable amount and Amount to pay, and each goal's share of the payout.
Create a plan from the Incentive plans page
- Go to Compensation > Incentive plans and select New incentive plan.
- One opens full screen with "Let's create a new Incentive Plan!". Describe the plan, for example "Create an incentive plan for the Marketing team to calculate quarterly variables".
- Answer One's questions about the year, recurrence and people.
- One creates the plan and opens it, with One in a side panel ("Let's configure your incentive plan"). Keep asking One, for example "Add the Marketing team to this plan".
- To skip One, select Empty plan ("Start from scratch") under or start with. Factorial creates a blank plan and One moves to a side panel.
Every time you open a draft plan, One opens in a side panel so you can keep configuring it.
Create a plan from anywhere
- Open One.
- Describe the plan, for example "Create a quarterly incentive plan for the Sales team for 2027 called Sales bonus 2027".
- If the year, the recurrence or the people are missing, One asks all the missing questions at once with options to choose from.
- One creates the plan and opens it. If you didn't give a name, it's called New incentive plan.
- In the plan, set the goals, weights and payout tiers.
Add goals to a plan
- Open the plan and open One.
- Ask "Which goals can I add to this plan?" or "Add the goal 'New ARR' to this plan".
- One adds the goal with weight 0 and no payout rules, and keeps every goal already on the plan.
- Set the weights yourself, or ask One to "split the weights equally".
Remove people or fix a duplicated additional compensation
- Open One.
- Ask "Remove @Ana García from the Sales bonus 2027 plan", or "Fix the duplicated additional compensation for @Ana García".
- For a duplicate, One lists each additional compensation with its amount and payroll concept so you choose which one to keep.
- Approve the change.
Fix missing additional compensation
- Open One.
- Ask "Fix the employees missing an additional compensation on the Sales bonus 2027 plan".
- One asks only for the amount. If different people need different amounts, give each amount and the people it applies to.
- Before acting, One tells you which people it will skip and why.
- One confirms the request was accepted. The additional compensations are created in the background.
Rules and behavior
- If you're not an admin, then One can't answer incentive plan questions.
- If you name a plan that matches more than one plan, then One asks you which one.
- If you create a plan without a year, recurrence or people group, then One asks for them. If you say "next year", One uses the next calendar year. If you name a month, quarter or half-year as the period, One asks for the year instead, because plans are created for a full calendar year.
- If you change a plan's recurrence or people group, then its payroll concept is cleared and must be chosen again.
- If you split weights equally, then One uses two decimals and gives the leftover to the last goals so the total is exactly 100. For example, three goals get 33.33, 33.33 and 33.34.
- If One adds a goal, then the goal starts at weight 0 with no payout rules, and the goals already on the plan keep their weights and order.
- If a payout was sent to payroll, then One says "sent to payroll", not "paid", unless payroll results confirm the payment.
- If an estimated payout belongs to a period that was already sent to payroll, then it was skipped and One shows no amount for it.
- If you fix missing additional compensation, then One skips anyone who isn't flagged as missing one, whose contract you can't edit, or whose legal entity has no currency, and names them.
- If you want to add or remove a whole team, role or legal entity, then change the plan's people group in the plan's basic information. One removes only named people.
Worked example: overall achievement and amount to pay
Ana's plan has a Variable amount of €1,000 for the quarter. Her Overall achievement for the quarter is 80%. Her Amount to pay is €800. One reads these three figures from the plan; it doesn't calculate them itself or average the goals.
Limitations
- One can't send payouts to payroll, approve payouts, or mark them as paid.
- One can't activate, archive or delete a plan.
- One can't create a plan for a period shorter than a calendar year in one step.
- One can't set payout tiers when it creates a plan. Set them in the plan.
- One can't change a plan's people group by removing people. Removing named people deletes only their assignments.
- Only admins can ask One about incentive plans.
Troubleshooting
- Symptom: "One says nobody is on the plan, but there are people on it." → Cause: The plan name didn't match exactly. → Fix: Ask "What incentive plans do we have?" and use the exact name.
- Symptom: "One skipped some people when fixing additional compensation." → Cause: They weren't flagged as missing one, you can't edit their contract, or their legal entity has no currency. → Fix: Check those people in the plan's people table and their contracts.
- Symptom: "The payroll concept disappeared." → Cause: The recurrence or people group changed. → Fix: Choose the payroll concept again.
- Symptom: "One can't add a goal to the plan." → Cause: The goal is outside the plan's period or already on the plan. → Fix: Ask "Which goals can I add to this plan?" and pick from that list.
