Choosing your work location
When you record time manually you can set your work location — the location type (Office / Home / Business trip) and, for Office, a workplace and optional work area. See About work location tracking for what these mean.
When you clock in (Clock-in widget)
- On your dashboard, find the Clock in widget.
- Select the location pill (the pin icon — it shows your current location, e.g. Office).
- In the dropdown, choose your location type:
- Office — if you have a default workplace it's already filled in; keep it or pick another workplace from your assigned list. To choose a work area, expand the workplace (chevron) and select one. Selecting the workplace on its own is fine — a work area is optional.
- Home or Business trip — no workplace or work area needed.
- Select Clock in. Your work location is saved with the shift.

Adding a shift from the timesheet
- Go to My time tracking → Timesheet and find the day.
- Select + Add to open the new-shift form.
- Set the entry to Work, enter the start and end times (use Starts next day (+1d) for an overnight shift).
- In the Work location field, pick the location type → workplace → work area.
- Save the shift.

Choosing "Office" here records just "Office" and does not auto-fill your default workplace — pick a workplace if you want one recorded.
Editing the work location on a shift
- On the Timesheet, open the shift's options and select Add/Edit work location.
- In the Work location panel ("Add locations to [day]"), open the dropdown for that shift.
- Choose the location type → workplace → work area. The field shows the full path, e.g. Office · London - Office · Lobby.
- Select Save.

Editing an existing shift never auto-assigns your default workplace — only a choice you make is saved. To remove the location, choose Select (the clear option) at the top of the list.
If your timesheet changes need approval
If your company requires timesheet approval, editing a shift's work location on an already-tracked day doesn't apply immediately — it's submitted as a change request to your approver.
What you see (requester)
- On your timesheet, the shift is marked Pending.
- Hovering the Pending badge shows a Request changes summary of what will change — for example, Workplace: Barcelona office → New York office and Work area: Lobby → Work area 1.
- The work location updates on your timesheet only once the change is approved.
What the approver sees
- The reviewer gets a task in their Inbox (under Time tracking): "Review [name]'s edit timesheet request".
- Opening it shows the Requester, Date, Request type: Update shift, and the requested changes — Workplace (old → new) and Work area (old → new).
- The approver selects Approve or Reject; on approval the shift's work location is updated.

On the mobile app
You can set your work location on the Factorial mobile app too — the location type, workplace, and (optionally) work area — when you clock in, add or edit a shift, or request a change to a shift. Instead of the web's single dropdown, mobile uses a tap-through flow: tap Work location, choose the location type (Office / Home / Business trip), then tap through to Workplaces, then the Work area. The row shows your current selection (for example, Work area 1).

Clock in (mobile)
- On the Home screen, open the clock-in area.
- Tap Work location.
- Choose the location type. For Office, tap through to Workplaces, select a workplace, then a Work area if the workplace has them.
- Clock in.
Add or edit a shift (mobile)
- Open a shift (or add a new one) from Time tracking.
- Tap the Work location row and choose location type → workplace → work area.
- Save the shift.
Request a change to a shift (mobile)
If your company requires timesheet approval, editing a tracked shift on mobile opens the Request changes screen:
- Adjust the details as needed — From / To times, Starts next day (+1d), and Observations.
- Tap Work location and pick the location type → workplace → work area (for example, Work area 1).
- Tap Send request. Your manager / approver reviews it, and the change applies to your timesheet once it's approved.

Modify a pending request (mobile)
While a change request is still Pending, you can update it without creating a new one:
- On the day view, open the shift marked Pending.
- On Modify shift request, change the Work location (location type → workplace → work area) or other details.
- Tap Save request changes. You'll see an "Edit request saved successfully" confirmation, and the shift stays Pending for your approver.

Review a request (mobile, for approvers)
If you approve timesheets, you can review requests from the mobile app:
- Open the request — "Review [name]'s edit timesheet request".
- It shows the Requester, Date, Request type (Update shift), and the requested Workplace (old → new) and Work area (old → new).
- Tap Approve or Reject.

Like the web version, the mobile work-location options are rolling out gradually — they appear only once the feature is enabled for your company.
