Where to find the templates
1. Through the Settings:
- Go to Settings
- Scroll down to Recruitment under the People section
- Select the Templates tab
- There are four types of templates
- Custom questions
- Messages
- Evaluation forms
- Offer letter

How to create message templates
There are three easy ways to create message templates:
1. From the Settings:
- Navigate to Templates in Settings
- Access the Messages tab
- Click on New template
- A modal will open, create the Template name
- Save
- Once saved you only need to fill in the information:

Template type
- Company template: the template will be created and can be used by the recruitment team. Everyone will be able to see it and use it.
- Personal template: It's only yours, you will be the only one that can see it or use it
- Contents of the message

Template type
- Apply

All hiring managers can create personal templates.
Only users with ‘Manage company message templates’ or admins can create company templates.
2. From a job opening:
- On your sidebar, click on Recruitment
- Click on Jobs
- Select a job opening and a candidate
- Click Messages
- Create your template message
- Select Save as a template button

3. From the Message inbox:
- Navigate to the Messages section in the Recruitment feature
- Click on the Edit templates button
- You will be directed to Recruitment Settings
- Access the Templates tab
- Edit the template of your choice

How to add variables to your message templates
You can add variables to your templates in order to make them as flexible as possible.
The +Add variables option is located above the message text box in the Settings, Job applicant’s profile and the Message board.
- Click on +Add variables
- And a list of variables will appear
- Select the variable of your choice
- Place the variable in the correct part of the message

Messages templates in the Disqualify process
Templates are available in the disqualify modal, for both bulk and single disqualifications. With this, you can easily send disqualifying messages in bulk using variables.
- Create message template with the rejection message
- Go to the Job opening of your choice
- Select the candidates you want to reject by clicking on the square next to their name (Note: clicking on the name will only select one candidate)
- Click on Reject
- A new tab will appear. Fill in the following information:
- Rejection reason: select the most appropriate reason from the list of options
- Message template: select the template you previously created
- Message: edit the message and variables as needed
- Delay email (optional): choose the time you want the message to be sent
- Delay 2h
- Delay 4h
- Delay 6h
- Next day at 9AM
- Next Monday at 9AM
- Schedule
- Choose a custom time
- Reject

Remember that you can send this email as a corporate email via no-reply email.
How to create Offer letter templates
Offer letters are generated automatically with candidate and vacancy data from Factorial, and that same information carries over when creating the employee after signature. This removes duplicate manual work, keeps data consistent, and reduces errors.
Recruiters can create and save reusable offer letter templates in advance. Then, when a candidate reaches the Offer stage, they can generate the document automatically with the right data, send it for signature, and later create the employee with that information already completed.
- On your sidebar, go to Settings
- Select the Recruitment section
- Access the Templates tab and the Offer letter tab within it
- Here is what you can do:
- Click on +New to create a new template
- Fill in the information and click on Save
- You can download the template from here
- Click on the three dots at the left end of a template and select View template
- Click on the three dots at the left end of a template and select Edit
- Click on the three dots at the left end of a template and select Delete
- Click on +New to create a new template
