Keeping employees’ DNI up to date is essential to avoid administrative or legal issues. With customized notifications, you can receive alerts before a document expires and take action in advance.
In this article, you’ll learn how to create a customized notification based on the DNI expiration date.
How to create the notification
Follow these steps:
- In the sidebar, go to Settings
- Click on Customized notifications
- Select Create new customized notification
- Choose the trigger Based on a date: Before or after an event
- Click Save
Set up the notification
Once the trigger is created:
Define the condition
Select employees → ID Expiration → the field corresponding to the DNI expiration date (You have to create it as a custom field).
Then you can configure, for example:
- Notify 30 days before the expiration date
- Or set multiple reminders (60, 30, and 7 days before)

Add an action
Define what happens when the condition is met:
- Send a notification
- Send an email
Choose recipients
Select who should receive the notification:
- Managers
- HR team
- The employee
- Specific users
This ensures that someone can take action on time.

Example message
You can customize the notification content. For example:
[Employee Name]’s DNI will expire on [Date]. Please make sure it is renewed on time.
Recommendations
- Set the notification with enough notice (at least 30 days in advance)
- Add multiple reminders if needed
- Make sure the expiration date field is correctly filled in for all employees
