This article explains how to transfer employees’ worked hours from Time Tracking to Compensation and sync them with payroll software such as DATEV. You’ll learn how to set up this functionality and how it supports hourly-based payroll processes.
Overview
In many countries like Germany, employees are often paid based on the number of hours worked rather than a fixed monthly salary. This feature allows you to automatically transfer approved worked hours from Time Tracking into Compensation, ensuring accurate payroll calculations and seamless integration with DATEV.
Once enabled, worked hours for hourly-paid employees are automatically reflected in Compensation and included in payroll exports.
When and why it should be used
Use this functionality when:
- You manage employees with hourly-based salaries
- You want to reduce manual payroll calculations
- You need to align payroll data with DATEV requirements
- You want a more integrated workflow between Time Tracking and Compensation
How to use
Set up the functionality
- In your sidebar, go to Settings
- Go to Compensation
- Scroll to Connected modules
- Click on Time Tracking
- Enable the Worked hours toggle
- Go to the DATEV settings page
- Map the worked hours concept to the corresponding DATEV salary type

Only the worked hours of employees whose base salary frequency is hourly can be transmitted.
Use the functionality
- Approve employees’ timesheets
- Ensure the corresponding payroll cycle is open
- If the cycle is closed, hours will be transferred to the next open cycle
- Once approved, worked hours are automatically transferred to Compensation
- Review the hours in the Compensation cycle table
- Run the payroll sync as usual to send data to DATEV
Keep in mind:
- Unapproval of any employee's timesheet in an open payroll cycle would remove the compensated worked hours from Compensation.
- Worked hours transmitted to Compensation are not editable in Compensation.
- DATEV sync of compensation works as normal and would transfer these worked hours to DATEV.
- Worked hours are transferred to the month they were generated in to DATEV. If a timesheet spans two months, we send the number of hours generated per month to DATEV.
Tips and best practices
- Make sure employees have their base salary configured as hourly, otherwise their hours will not be transferred
- Approve timesheets on time to avoid delays in payroll processing
- Double-check DATEV mappings to ensure hours are correctly categorised
- Be aware that this feature lays the foundation for managing hourly workers more efficiently across Time Tracking and Payroll
FAQ
-
Which employees are included in this functionality?
Only employees with an hourly base salary are included.
-
What happens if I unapprove a timesheet?
If the timesheet belongs to an open payroll cycle, the corresponding worked hours will be removed from Compensation.
-
Can I edit worked hours in Compensation?
No, worked hours transferred from Time Tracking are not editable.
-
How are hours split across months for DATEV?
If a timesheet spans multiple months, hours are split and assigned to the respective months when sent to DATEV.
-
Is the DATEV sync automatic?
The sync follows the standard Compensation-to-DATEV process. You need to run the payroll sync as usual.
If worked hours are not appearing in Compensation, confirm that the employee’s salary is set to hourly, check that the timesheet has been approved and verify that the payroll cycle is open.
If hours are missing in DATEV, ensure the worked hours concept is correctly mapped in DATEV settings and check if the payroll sync was completed successfully.
