Shift management permissions

Shift Management permissions in Factorial determine who can view, create, edit, and manage employees’ shifts and work schedules. In this article, you’ll learn what each permission allows, how it affects access to shift planning, and how to set them up correctly to match your team roles and workforce management workflows.

Employees must be assigned to the corresponding permissions group for time planning permissions to apply.

 

 

How to set up your shift management permissions

  1. In your sidebar, go to Settings
  2. Click on Permissions
  3. Select the shift management section
  4. Enable or disable permissions 
  5. Click on Save changes

Some permissions let you choose the specific scope of a permission in Factorial: deciding who a user is allowed to perform a certain action on.

  • For themselves: Only on their own profile/data.
  • For direct and indirect reportees: On employees who report to them, directly or through a hierarchy.
  • For people on teams they lead: Only on members of teams they manage.
  • For people in their legal entity: Anyone in their department, branch, or company entity.
  • For the whole company: Across all employees in the organisation.
 

 

Shift management permissions

  • Create, edit and delete saved shifts
    This permission allows the employees inside the specific group of permissions to fully manage shifts, including creating new ones, modifying existing ones, and removing shifts from the system.
     
  • Edit swap shifts
    This permission allows the employees inside the specific group of permissions to approve, modify, or adjust shift swap requests between employees.

  • Create, edit, and delete unassigned shifts
    This permission allows the employees inside the specific group of permissions to create, edit, and delete unassigned shifts, managing all shifts that haven’t been assigned to employees yet.

    You can choose the scope of this permission.

     

 

  • Edit and publish shifts
    This permission allows the employees inside the specific group of permissions to edit existing shifts and publish them, making changes effective for employees’ schedules.

    You can choose the scope of this permission.

     

     
  • Edit rotating shifts
    This permission allows the employees inside the specific group of permissions to modify rotating shifts, meaning they can adjust the schedule patterns that repeat over time.

    You can choose the scope of this permission.

  • See published shifts
    This permission allows the employees inside the specific group of permissions to view shifts that have already been published and are visible to employees.

    You can choose the scope of this permission.

     

     
  • See shift management time insights
    This permission allows the employees inside the specific group of permissions to view reports and metrics on shift management, such as hours worked, shift distribution, and workload, without making any changes.

    You can choose the scope of this permission.

     

    The user must have permission to See insights.

    Pay attention: those who have access to Insights will see the entire company's data, as no role-based permissions are applied.
