With One, you can now turn your HR data into clear tables and visual dashboards by simply describing what you need. Instead of building reports manually, you can generate, explore, and refine your analysis in seconds. This article explains what AI Reports offers today and what is coming next.
One always works within your access permissions, so you only see what you're allowed to see.
Overview
AI Reports is the analytics experience built into One. It allows you to generate tables and dashboards from your HR data using plain language — no SQL or manual configuration needed. You can refine results conversationally or adjust them manually to better fit your needs.
When and why it should be used
Use AI Reports when you want to:
- Quickly understand HR data through tables and visual insights
- Create reports without manual configuration
- Explore trends in areas like headcount, absences, contracts, or expenses
- Save time that would otherwise go into building reports from scratch
It's especially useful for HR professionals who want fast, clear insights without needing technical or analytical expertise.
How to use
Generate a table
All users can generate tables based on the data they have access to.
- Go to One in your Factorial account
- Type a request describing the data you want to see. For example:
- "Show me all employees with more than 10 vacation days pending before year end"
- "List employees with expense reimbursements pending for more than 30 days"
- "Compare hires and terminations month by month over the last year"
- Review the generated table
- Refine the results by continuing the conversation — for example: "Filter by the London office" or "Sort by department"
Tables generated in a conversation stay available in your conversation history in One.
If the table doesn't show the expected data, make sure your request is clear and specific, check if filters are limiting the results, and verify that you have permission to access that data.
If the results are too broad or not relevant, refine your request with more details such as a time period, department, or location, and use follow-up instructions to adjust the output.
Create a dashboard (admins only — available for select customers)
- Go to One in your Factorial account
- Type a request describing the report you want to see. For example:
- "Create a report of active employees by team"
- "Give me a funnel of all my open positions"
- Review the automatically generated dashboard — it will include charts, metrics, and tables
- Refine the dashboard by continuing the conversation — for example: "Add a filter by location"
- Use the available filters (e.g., team, job posting, location) to explore the data
If the dashboard doesn't show the expected data, make sure your request is clear and specific, check if filters are limiting the results, and verify that you have permission to access that data.
If the dashboard is too broad or not relevant, refine your request with more details and use follow-up instructions to adjust the output.
Example use cases
- Recent salary increases — Track each employee's most recent salary increase, date, amount, and change from the previous salary
- Hires vs terminations — Compare hires and terminations month by month to see how headcount is evolving
- Overdue reimbursements — Find employees with expense reimbursements pending for more than 30 days
- Vacation usage — See how much vacation each employee has taken, has pending, and still has left for the current year
- This week's absences — Review every absence request for the current week across all teams
- Headcount breakdown — Break down headcount by team and contract type to spot coverage gaps
- Expiring contracts — Catch contracts expiring in the next 60 days before they lapse
- Quarterly expense reports — Get a full view of expense reports submitted during the last quarter, broken down by category and status
- Pending vacation days — Spot employees with more than 10 vacation days still pending before year end
Tips and best practices
- Be specific in your requests for more accurate results — include timeframes, teams, or locations
- Use follow-up prompts to refine results instead of starting over
- Combine filters to better understand trends across different segments
- Check your permissions if expected data is not visible
What's coming soon
AI Reports is evolving. Here is what admins can expect in upcoming updates:
- Save and revisit reports (admins only) — Save the tables and reports you generate as standalone reports, so you can access them directly without going back to the conversation history.
- Share dashboards and tables — Share saved reports and dashboards with other users in your organisation
This article will be updated as these features become available.
