Overview
The Expenses module in Factorial helps you control and centralize all company expenses. To make sure only the right people can access and manage them, you need to assign users to the module.
When and why to use it
You should add employees to the Expenses module when:
- A new hire needs to submit their expenses.
- A team member should start reviewing or approving expenses.
- You need to remove access for someone who should no longer manage expenses.
How to use it
Follow these steps to add or remove employees from the Expenses module:
- Go to Settings from the left-hand menu in Factorial.
- Click on Subscription.
- In the Manage users section, you’ll see a button to add users directly.
If you click the arrow dropdown, you’ll be redirected to the full list of employees who currently have access to Expenses.

To remove a user, click the three-dot menu to the right of their name and select the corresponding option.

Troubleshooting
I don’t see the option to add users: make sure you have admin permissions.
The button doesn’t appear: this may be because your subscription does not include the Expenses module. In this case, please contact our Support team.

Can I automatically assign all employees to the Expenses module?
No, assignments must be done manually to ensure only the necessary people have access.

What happens if I remove someone from the module?
They will no longer be able to create, edit, or submit expenses. Their expense history will remain in the system for reference.
