What is an Expense Report in Factorial?

Discover the definition and importance of expense reports within the context of Factorial's HR software.

Expense Reports in Factorial give you a clear overview of employee expenses, grouped and broken down by different perspectives. They are designed to help approvers, managers, and finance teams track, analyze, and act on expenses more efficiently.

 

Where to find Expense Reports

  1. In your sidebar, go to Spending
  2. Open the Employee expenses tab at the top
  3. Select the Report subtab. Here you’ll find an overview dashboard of expenses, with widgets that group expenses by:
    • Status (pending, approved, reimbursed)
    • Funnel (submitted → approved → paid)
    • Category (travel, meals, office supplies, etc.)
    • Employee
    • Cost center
    • Team
    • Trends over time

 

Each widget is interactive: use filters to refine the view, or click the > icon in the widget’s top-right corner to open the detailed list of expenses behind it.

 

 

Alternative: List view and exports

If you prefer a list view:

  1. In your sidebar, go to Spending → Employee expenses → Expenses
  2. Use the ⋮ (three dots) in the top-right corner of the list to:
    1. Edit columns → Add/remove fields, reorder, and combine with filters
    2. Export view → Download exactly what’s on your screen

 

  1. For Advanced export, you can:
    1. Choose between CSV or Excel
    2. Apply advanced filters
    3. Select which fields to export (including adjusting column labels)

Additionally, Expense Groups can be exported as PDF, including all expenses within the group.

 

 

FAQ

  1. Can I export reports directly from the dashboard?
    No, only from the list view or using Advanced export.
     
  2. Do Expense Reports update in real time?
    Yes, all widgets and lists update as soon as expenses are created, approved, or reimbursed.
     
  3. Can I share a report with colleagues?
    Yes, export the view to CSV, Excel, or PDF and share the file, or ask your admin about dashboard-sharing permissions.
