Manage Expenses Users for Partner-Managed Companies

Partner-managed companies can now manage who can use Expenses and track available seats in real time, directly from Subscription and Spending settings.

Overview

This functionality allows partner-managed companies to add or remove users in the Expenses module up to the maximum number of seats defined in their contract. It helps prevent unexpected charges and ensures visibility over seat usage.

When and why to use it

  • Add new collaborators to the Expenses module
  • Remove access for collaborators who no longer need it
  • Check how many available seats you still have according to your partner agreement
  • It helps maintain control over your contract limits and avoid billing surprises

 

 

How to Use

  1. Go to Settings > Subscription or open Spending from the sidebar
  2. In the Expenses section, you’ll see the current usage indicator, showing how many seats are used versus how many are available
  3. To add a collaborator:
    1. Click Add users
    2. Select the collaborators you want to grant access to Expenses
    3. Confirm your selection.
  4. To remove a collaborator:
    1. Locate the collaborator in the list
    2. Click Remove access to free up a seat

 

When usage reaches 80% of the seat limit, you’ll see a warning banner.

 

Once the usage reaches 100%, the Add users button will be paused until more seats are available or your partner updates your contract.

 

 

Tips and Best Practices

  • Monitor your seat usage regularly to avoid hitting the limit unexpectedly.
  • If you see the Add users button paused, contact your Partner to request additional seats.
  • Ensure that when collaborators leave your organization, their Expenses access is removed promptly to free up seats.
  • Partners can update the company’s contract terms in real time so changes to seat limits reflect immediately in the company’s dashboard.

If the seat usage indicator isn’t updating, it may be because the Expenses ceiling in your subscription isn’t properly configured. To fix this, contact your Partner or the Factorial Support Team to review your subscription setup.

  1. What does “partner-managed company” mean?
    It refers to companies whose Factorial subscription and contract terms are managed by an external Partner rather than directly by Factorial.
     
  2. How are seat warnings calculated?
    Warnings appear when 80% and 100% of the contracted seats for Expenses are used.
     
  3. Can I add users beyond the agreed limit?
    No. Once you reach 100% usage, the Add users action is paused until the Partner increases your seat limit.
