Importing courses and their participants no longer requires technical intervention. This article explains how HR teams can easily upload courses and participant lists directly from Factorial using a ready-made template, saving time and reducing errors.
Overview
The Courses and Participants Import feature allows you to create or update training courses and enroll participants in bulk by uploading a template file. It is powered by Factorial’s universal importer and can be used directly from the platform.
When and why it should be used
Use this feature when you need to:
- Create multiple courses at once.
- Enroll many participants in one or several courses.
- Migrate training data from another system.
- Avoid manual course and participant creation.
This is especially useful for large training programs or initial data setup.
How to use
- Go to Trainings from the main menu
- Open the Courses section
- Click Import course in the courses list
- Download the import template
- Fill in the template with:
- Course information (such as course name and details)
- The list of participants associated with each course
- Upload the completed template
- Review the data preview to ensure everything is correct
- Confirm the import to create the courses and assign participants
Once completed, the courses and participants will appear automatically in the platform.
If the import fails or shows errors, check that all required fields in the template are filled in, ensure there are no extra columns or formatting changes and verify that participant identifiers match existing users in Factorial.
If participants are not assigned to the course, confirm that the course information is correctly filled in for each participant row and make sure the course already exists or is correctly defined in the same import. If issues persist, contact the support team for assistance.
Tips and Best Practices
- Use the template exactly as provided and do not change column names.
- Make sure participant data matches existing collaborators in Factorial (for example, email or employee identifier).
- Import a small test file first if you are using the feature for the first time.
- Keep a copy of the uploaded file for future reference or troubleshooting.
