1. Is it possible for Office Managers to have the same permissions as regular employees, except for managing other employees’ bookings?

Yes, this is possible by creating a custom permission group.

Instead of modifying the default Employee group, you can create a dedicated “Office Managers” group and adjust only the permissions related to Spaces.

How to configure it:

  1. Go to Settings.
  2. Open Permissions.
  3. Click on Create custom group.
  4. Name the group “Office Managers”.
  5. Replicate the default permissions assigned to Employees.
  6. In the Spaces section, update the access level to allow:
    • Managing their own bookings.
    • Managing bookings for other employees.
  7. Save the changes.
  8. Assign this permission group to the relevant employees.

Outcome

With this configuration:

  • Office Managers retain the same permissions as regular employees.
  • They gain additional access specifically to manage other employees’ bookings.
  • There is no need to grant broader administrative permissions.
  • This approach ensures clear role separation while maintaining control over access levels.

 

2. Is it possible to limit Space bookings by workplace and role?

Example: Engineers based in Madrid should only be able to book desks in the Madrid office and only on their assigned floor.

At the moment, it is not possible to automatically restrict bookings based on a combination of workplace and role.

If you are using flexible workspaces, you can structure your spaces strategically to simulate this limitation.

For example, instead of creating a single space called:

  • “Madrid – 1st Floor”

You can split it into:

  • “Madrid – 1st Floor – Engineers”
  • “Madrid – 1st Floor – Designers”
  • “Madrid – 2nd Floor – Marketing”

This way:

  • Each team has a clearly defined booking area.
  • Employees can easily identify their designated space.
  • The risk of incorrect bookings is reduced.

 

Best practices

  • Use a consistent and clear naming convention.
  • Communicate the workspace allocation policy internally.
  • Include space guidelines in your office policy or onboarding documentation.
  • Regularly review your space structure as teams grow or change.
