About Financial Workspace

Do you know how much an employee really costs your company?

The Financial Workspace combines all known workforce-related costs in Factorial, giving you one place to analyze and manage them.

It’s currently divided into two sections, tailored for different roles:

  • Finance teams – to support budgeting, cost allocation, and reporting.
  • HR admins – to track payroll and workforce structure.

 

Employee Costs tab – for Finance teams

  1. In your sidebar, go to Workspace in the Finance section
  2. Select the Employee Cost tab

 

This tab provides a full summary of employee-related costs, including predefined contract values, actual payroll data, and expenses.

  • Agreement cost. Data taken directly from each employee’s contract. This data can be used as a reference of predefined conditions and costs and it is split into:
    • Gross salary
    • Additional compensation (if defined)

This is what you planned to pay when onboarding the employee, and we use it to compare against payroll and expenses.

 

  • Employee expenses. All employee-related expenses from Spending product with statuses: Approved, Paid, Sent to pay (SEPA), In payroll.
     

Soon you will be able to substract expenses paid in Payroll via Financial Workspace Settings to avoid duplicating expenses.

 

You can see the total or break it down by concept by clicking on the chevron.

 

 

  • Labor Cost. The main KPI here is Labor Cost – your company’s total cost per employee, obtained from the “Company Cost” concept in your payroll summaries. You can find detailed salary breakdown based on uploaded payroll summary in Payroll data tab.

This currently includes expenses paid through payroll as well.

 

 

1. Filters

1.1. Data source

You can choose the data source depending on what cost information you want to analyze.

  • Example: What was the total cost of Agustín García in 2024, combining payroll and airline expenses?

 

1.2. Cost centers

If you’ve set up Cost Centers in Factorial, you can filter and group costs by those dimensions.

  • Example: How much are we spending on the Marketing and Product Design cost centers this year?

 

1.3. Legal entity

If your company has multiple legal entities set up in Factorial, you can filter and group by them.

  • Example: What are the total employee costs in our German legal entity this quarter?

 

1.4. People

Filter by specific employees, their direct managers, or any group of employee.

  • Example: How much does Jane Doe’s team cost each month?

 

1.5. Workplaces

Filter costs by any workplace defined in your organization setup.

  • Example: What are the monthly costs for our Barcelona office vs. Valencia?

 

2. Group by

You can also use the Group by option to change the visual breakdown in the table (not applicable to the graph). 

It doesn’t change the data, just how it’s presented for reporting.

 
  • Example: Can you provide a breakdown of costs by Managers for the Marketing and Product Design cost centers?

To do so, first, select your filter and then click on “Group by” to breakdown the data.

 

3. Export

Independently of filters and groups, there is one more option available on this screen: Exporting: based on your selected filters and grouping, we generate a .xlsx Excel file and send it to your Factorial email.


 

Payroll tab – designed for HR admins

  1. In your sidebar, go to Workspace in the Finance section
  2. Select the Employee Cost tab

This section focuses on analyzing actual payroll data using the uploaded payroll summary. In this tab, your payroll concepts will be categorized and summed* under the following categories:

  • Earnings - Fixed salary
  • Earnings - Benefits in kind
  • Earnings - Others
  • Earnings - Variable
  • Deductions
  • Company contribution
  • Summarized values
    *The concepts under “Summarized values” are not summed as those are already results of operations.
  • Uncategorized
    All predefined concepts will be linked to rest of categories, your custom concepts will appear temporary under “Uncategorized” until you link them to the right category via Settings > Payroll > Payroll concepts.

 

1. Filters

Both the table and the graph respond to all filters, except for Payroll lines. The Payroll line filter only affects the table. The graph currently displays the total company cost, regardless of which Payroll line is selected.

1.1. Cost center

If cost centers are set up in Factorial, you can view payroll data grouped by those business areas.

  • Example: What were the payroll costs for the Sales cost center in June?

 

1.2. Legal Entity

Filter payroll costs by each legal entity configured in your company account.

  • Example: How much did we pay in salaries in our Portugal entity last month?

 

1.3. Payroll line

Focus on specific payroll concepts, such as base salary, taxes, bonuses, or meal vouchers.

This filter doesn’t apply to the graph

 
  • Example: How much did we pay in bonuses in Q2 across the whole company?

 

1. 4. Payroll Policy

Use this to filter by specific payroll calendars or cycles (e.g. monthly, bi-weekly), if you have different payroll policies in place.

  • Example: What were the payroll costs for our France monthly cycle in July?

 

1. 5. People

Filter by employee, their manager, or any group of employees.

  • Example: How much did we pay to John Doe and his team in total compensation this year?

 

1. 6. Workplaces

Filter payroll costs based on physical office or remote locations.

  • Example: What were the payroll costs for our Remote team in April?

 

2. Group by

You can also use the Group by option to change the visual breakdown in the table (not applicable to the graph).

It doesn’t change the data, just how it’s presented for reporting.

 

 

4. Upload payroll summary

  1. In the payroll data tab, click on the Upload payroll summary button 
  2. This is a shortcut where you can upload the official payroll summary to populate the dashboard with real, detailed salary data

 

5. Export

Same behavior as in “Employee cost” tab – a .xlsx Excel file is generated and sent to your Factorial email, based on the selected filters and grouping.
