How to create and assign projects

Do you need to keep track of what your workers are doing during the day? Find in this article everything you need to know about creating and assigning projects to your workers.

With our project management tool, you can easily create new projects, assign employees, and track their work hours. Additionally, you can edit projects as needed, and change their status to reflect their progress. 

Before starting, check the permissions settings for project management. Remember that admins have it enabled by default, but you can activate it for any permission group.

 

 

How to create a project

  1. On your sidebar, go to Projects
  2. Click + Create project
  3. Fill in the Basic information:
    • Project name
    • Project code
    • Select Client (if need it)
    • Start date
    • Due date
    • Description
    • Status
  4. Define the roles of your project:
    • Project owners can edit projects, assign team members, and access financial information
    • Project editors can only edit projects, and assign team members
    • Project viewers can only view the project's details and development
    • Add as many as you want
  5. Add the Financial details:
    • Legal entity
    • Fixed costs for indirect expenses essential for business operations, covering items like rent and administrative salaries
    • Choose to set it as billable or not
  6. Specify the Project's budget:
    • No budget limit
    • Fixed price
    • Time and material
  7. Hit Create project

 

Projects filters

You can filter projects by:

  • Billing
    • Billable
    • Non-billable
  • Client
  • Legal entity
  • Status
    • Active
    • Draft
    • Processing
    • Closed
  • Project role
    • Owner 
    • Editor 
    • Viewer
  • Users with role

 

Edit, duplicate or delete a project

  1. Click on the three dots on the right and select between:
    • Assign people
    • Duplicate project
    • Settings (click here to edit the project’s basic information and roles)
    • Delete project 

If you close a project, people will no longer be able to track time on it.

 

 

How to duplicate a project

With this functionality, you can duplicate the entire project hierarchy, including assigned employees, with just one click. It helps save time and reduces the risk of errors during manual replication.

  1. On your sidebar, go to Projects
  2. Go to the project row you want to duplicate and click on the three dots
  3. Select Duplicate project
  4. Fill in the info:
    • Project name
    • Project code
    • Description
    • Start date and due date
  5. Enable Duplicate all
    • Phases
    • Assignees
    • Clients
    • Tasks
      Or disable to choose individually
  6. Click on Duplicate project

 

Assign and unassign employees to a project

  1. Find the project you want in the Projects list
  2. Click on the People tab
  3. Click on Assign people
  1. Choose whether you want to:
    • Assign the whole company
    • Manually select the employees
      • You can filter them by teams or managers
  2. Click on Assign people

To unassign a person, just click on the three dots icon of that employee and choose the Unassign person option.

If you unassign an employee from a project, it means that this employee will no longer be able to track time on this project. However, any hours recorded prior to unassigning the employee will remain in the system.

 

 

 

You can track the hours each employee has dedicated to a specific project. You can also export reports to understand data better and gather insights.
