About the message templates

Templates can simplify communication with candidates by ensuring consistency, saving time, and customizing messages with details that can increase the chances of a successful hire.

Where to find the templates?

There are two ways to find templates:


1. Through the Settings:

  1. Go to Settings
  2. Select Recruitment under the People section
  3. Scroll down to find Message templates


2. Through the Message inbox:

  1. Navigate to the Messages section in the Recruitment feature
  2. Click on the three dots (…) in the upper right corner and select Edit message templates
  3. A new modal will open and take you to Settings
  4. Scroll down to find the Message templates


How to create message templates?

There are three easy ways to create templates:

1. From the Settings:

  1. On your sidebar, go to Settings
  2. Click on Recruitment under the People section
  3. Scroll down until Message Template
  4. Click on Add template
  5. A modal will open and you will have to add the Template name
  6. Click on Create Template

Once in there you only need to fill in the information:

  • Template name
  • Template type
    • Company template: the template will be created and can be used by the recruitment team. Everyone will be able to see it and use it.
    • Personal template: It's only yours, you will be the only one that can see it or use it.
  • Message


  • All hiring managers can create personal templates.
  • Only users with ‘Manage company message templates’ or admins can create company templates.


2. From a job opening:

  1. On your sidebar, click on Recruitment
  2. Click on Jobs
  3. Select a published job opening
  4. Click on a candidate
  5. Click on Messages
  6. Create your template message
  7. Select Save as a template


3. From the message board:

  1. On your sidebar, click on Recruitment
  2. Click on Messages
  3. Select a conversation
  4. Create your template message

How to add variables to your message templates?

🌟 You can add variables to your templates in order to make them as flexible as possible.



  1. Go to the Message board
  2. Click on +Add variables
  3. And a list of variables will appear
  4. Select the one of your choice


Messages templates in the Disqualify process

Templates are available in the disqualify modal, for both bulk and single disqualifications. With this, you can easily send disqualifying messages in bulk using variables.


How to use

  1. Create your templates with variables in your message board
  2. Go to the Job opening and select one of your choice
  3. Select the candidates you want to reject by clicking on the square next to their name (Note: clicking on the name will only select one candidate)
  4. Click on Reject
  5. A new tab will appear. Fill in the following information:
    • Rejection reason: select the most appropriate reason from the list of options
    • Message template: select the template you previously created
    • Message: edit the message and variables as needed
  6. Click on Reject & send

❗ Remember that you can send this email as a corporate email.
