Download the Time Tracking Report

Administrators can download the time tracking report at any time, in Excel and PDF formats.


Or in other words,  Download the Clock In-Out Report:

  • Go to Time Tracking 
  • Click on the (...) 
  • Select the option Download Report

  • Fill in the Export Time Tracking Fields 
    ➡ PDF or Excel File 
    ➡ Select the Office
    ➡ Select the Team 
    ➡ From when to when

Differences between Excel and PDF for Time Tracking Reports

Excel

  • Excel file can be downloaded by admins and managers or team leads if permissions are enabled.
  • Coordinates will not appear (must clock in with geolocation)
  • No clocking editions appear 
  • Bank holidays or absences will not appear
  • Excel files are sent as an attachment in the mail
  • Projects will not be shown

PDF

  • Only possible for admins or individuals who are granted access to view company files.
  • Once downloaded, the report is stored in company files
  • You have the coordinates of employee clock in's and out
  • You have the clocking editions
  • You have Projects

⚠️Important : When downloading a report, you will receive an email. However, the report will be saved within a doc folder. If you are downloading with lots of data, the report will automatically convers into a zip. This means you will have to download the zip file through Factorial in order to be able to visualise it. From Factorial UI, you will not be able to visualise. 


Differences we can find in our time tracking report: 

1️⃣ If we have Shift Management enabled, in the report we will only see the hours based on the shifts we have posted instead of seeing the balance of hours or the hours we have been assigned through Work Schedule Feature. 

  • Total worked hours 
  • Total estimated hours (based on planned/shifts published). 
  • Total Balance 
  • Planned Shifts

image (1)-Mar-21-2022-09-44-04-36-AM2️⃣ If we have Shift Management disabled, we will be able to correctly manage the Work Schedule feature and we will also have visibility of the balance of hours, which allows us to know how much or less hours we have worked during a period.

  • Total worked hours 
  • Total estimated hours (based on work schedules)
  • Total Balance
  • Clock In and Clock Out
