Permissions groups samples that you can create👨🏻‍🏫

Don't you get the permissions system? 😥  Don't worry! In this article, we are going to show you different use cases to create permission groups in your company, so you can get ideas on how to start building the Permission Empire in your account.

Permission Examples 

Now we are going to show you different examples that you can use in your business model through Factorial. As you may have read in the previously linked articles, by default Factorial provides you with the administrator group and the default group, where the classic permissions offered by Factorial are shown. 

But... give it some imagination! 🎨 You can create any type of permission you want, always according to what your employees can or cannot see. 




Permits for HR Assistant 👩🏼‍🎓
This example of permission is intended for employees who work as assistants, trainees, interns, etc. in the HR department. In many cases, there are assistants who, due to company policy, are unable to view sensitive data, therefore, by creating this type of permission, it will not be necessary to give them administrator permission. They will be able to manage time-off, time tracking... but without the need to have access to the company settings and other data. 

1. Go to Company > Permissions > "+" Create new group of permissions. 
2. Add the Employees that are going to be part of this group. 
3. Set the permissions for this group. 

Here are some ideas for setting permissions for this type of role, although they are for guidance only, as each company has its own privacy policy.

We can check "Review and approve the time tracking info" so that assistants can access the Time Tracking section and manage the staff that is part of the clocking in, approve or reject the clock-in at the end of the month, and other related actions. Captura de pantalla 2020-09-07 a las 15.11.04Regarding personal documents, we can also select Whole Company, so that they can see the documents in the different directories of each employee.

If we want the HR Department assistant to be able to add and terminate employees, we check the corresponding checkboxes. For personal information and e-mail, it is recommended to check Whole Company so that the HR person has access to each employee's information.

🎉 And then we would have the permission group for HR Assistants configured! 🎉

Remember that this is an indicative example, we can also configure time-off, shift management, contracts, or other permissions according to the team or company policy. 




Restricted visibility permissions for Dashboard events 📆

Maybe there are employees in your company who do not wish to see or share certain personal information such as work anniversary, birthdays, new hires, etc.  For them, we can create a group of permissions so that this information will not appear on their Dashboard. 

1. Go to Company > Permissions > "+" Create new permission group. 
2. Add the Employees that are going to be part of this group.

If you uncheck the boxes and leave them blank, the employees who are part of this group of permissions will automatically not see any of the events mentioned above at their Dashboard. 

Therefore, they would have an empty view of the News at the beginning, as in the attached example.

Permissions to manage Shifts 🎛 

In the case that you have installed the Shift Management functionality, you will see that in the Permissions section a new mode related to this functionality will appear. 

You can edit the permissions for the shift management from the same "Default" group, in which most of the employees in your account are stored, and adjust it to your liking.

In this case, we have added the Team Leaders checkbox, in this way they also will be able to edit and publish shifts of the employees. By default, only the Managers box is selected. We can also remove visibility from the published shifts, but the objective of the functionality is to be able to visualize the shifts so that there are better management and organization between employees.
